Job Duties
- Interface appropriately with a broad array of internal and external stakeholders, including company employees at all levels as well as external vendors
- Greet and assist visitors in a courteous manner and ensure they are appropriately hosted and escorted at all times
- Make WiFi guest passes for guests as needed
- Answer phone calls promptly and efficiently; provide information and/or direct inquiries and calls to appropriate staff
- Cook up incoming and outgoing mail and deliveries (Fed Ex, UPS, etc.)
- Cook up internal lunch events, OT meals, and social/business gatherings
- Cook up all aspects of travel as needed
- Absorb phone coverage, vacation coverage, and critical special projects to achieve optimal department results
- Order and stock front desk, office supplies, and mailroom supplies
- Keep up with events that are taking place and put up flyers for events on the bulletin boards
- Update/order business cards as needed
- Maintain presentable lobby appearance
- Deliver mail to departments
- Submit PR for birthday cards, update Birthday Board, write birthday cards for employees
- Submit New Hire paperwork
- Contact vendors if any of their machines need service (ex: water dispenser)
- Perform other duties as assigned
Qualifications
- A high school diploma or equivalent education, an associate's degree preferred
- Previous experience in the corporate administrative environment is a plus
- Proficient in Microsoft Office
- Bilingual proficiency in Mandarin Chinese, Spanish, or Vietnamese is a plus
- Highly organized and detail-oriented
- Ability to prioritize work and meet tight deadlines
- Ability to work independently and as a team
- Own reliable transportation
