The Receptionist serves as the first point of contact for visitors, clients, candidates, vendors, and employees, providing a professional and welcoming experience while supporting all business lines operating within the Houston office. Responsibilities include managing the front desk, answering and directing phone calls, coordinating visitors and client-facing meeting rooms, receiving and sorting mail and deliveries, and maintaining the reception and client-facing areas. The role requires a professional, organized, service-oriented individual who can manage multiple priorities, communicate effectively, and respond proactively to day-to-day office needs. Duties Front Desk Operations & Guest SupportServe as the first point of contact for clients, candidates, vendors, visitors, and employees, providing a professional and welcoming experienceGreet and assist visitors, notify appropriate employees of guest arrivals, and provide general office information as neededMaintain visitor sign-in procedures and issue visitor badges when requiredAnswer, screen, and direct incoming phone calls and route general emails or inquiries to the appropriate person or departmentReceive and sort incoming mail, packages, and courier deliveries at reception for distribution or pickupCoordinate outgoing shipments, including preparing shipping labels, arranging courier pickups, and tracking packages when necessaryMaintain a clean, organized, and professional reception and lobby areaEnsure front desk coverage during normal business hours and communicate planned absences or coverage needs as appropriate Meeting & Conference Room LogisticsManage reservations for client-facing conference and meeting rooms and assist with resolving scheduling conflictsConduct routine checks of client-facing conference and meeting rooms to ensure they are clean, organized, and ready for useEnsure whiteboards are cleaned, clocks display the correct time, furniture is arranged appropriately, and cords/cables are organized safelyVerify that lobby TVs, conference phones, cameras, speakers, and other audiovisual equipment are functioning properlySubmit and follow up on IT support tickets related to meeting room technology or equipment issuesRestock client-facing meeting rooms with necessary supplies as needed Meeting CoordinationSupport internal and external meetings held in the Houston officeCoordinate meeting logistics, including catering, refreshments, visitor access, room setup, and special requestsCommunicate with meeting organizers to ensure meeting requirements are understood and completed prior to the meetingAssist with post-meeting cleanup and return rooms to a professional, ready-to-use condition Office Support & Administrative AssistanceReport office maintenance, janitorial, safety, or facility-related concerns to the appropriate contactAssist with routine office organization and administrative tasks as assignedProvide general administrative support to the administrative team as needed General ResponsibilitiesBuild effective working relationships with employees, clients, vendors, visitors, and external service providersSupport the continuous improvement of reception, administrative, and office support processesWork collaboratively with the administrative team, Office Support Assistant, and other departments as needed Required High school diploma or equivalent required; Associate degree preferredPrevious receptionist, front desk, administrative, customer service, or office support experience, preferredProficient in Microsoft Office, including Outlook, Word, Excel, and TeamsStrong verbal and written communication skillsProfessional and courteous demeanor, with excellent customer service skillsStrong organizational skills and attention to detailAbility to prioritize tasks, manage multiple responsibilities, and work independentlyComfortable interacting with employees, visitors, clients, vendors, and candidates in a professional office environmentAbility to maintain confidentiality and handle sensitive information appropriatelyExperience coordinating meeting rooms, visitors, mail, and deliveries, preferredExperience using office equipment such as multi-function printers, scanners, postage/shipping systems, and conference room technology, preferredExperience working in a professional services, engineering, energy, or corporate office environment, preferred
