We are seeking a highly organized Receptionist and Legal Secretary to provide front-of-house support and administrative assistance within a professional legal services environment. This role combines client-facing responsibilities with legal document preparation, office administration, and support for attorneys and paralegals.

Responsibilities
- Serve as the first point of contact for clients, visitors, and incoming telephone calls.
- Coordinate meeting room logistics, visitor preparation, and office events.
- Manage incoming and outgoing mail, courier services, and document distribution.
- Maintain electronic and physical file systems and records.
- Prepare, format, proofread, and transcribe legal correspondence and client documents.
- Draft routine estate planning documents, including powers of attorney, advance directives, and authorization forms.
- Schedule meetings and assist with client communications and signing appointments.
- Support attorneys and paralegals with administrative and legal tasks.
- Participate in monthly billing activities and other office administration functions.
- Manage office supplies, common areas, and day-to-day office operations.
- Complete special projects and administrative assignments as required.
Qualifications
- High School Diploma or GED required; Business Administration degree preferred.
- Previous experience within a legal, trust and estates, or professional services environment is advantageous.
- Strong proficiency with Microsoft Office and legal practice management software.
- Excellent verbal and written communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Professional, client-focused approach with strong interpersonal skills.
- High level of discretion and commitment to maintaining confidentiality.
- Self-motivated with the ability to work independently and take initiative.
Pay
Salary of $55,000 - $65,000, depending on experience.
Schedule
Standard 40-hour work week. Overtime eligible in a non-exempt position.
