About the role

We are seeking a highly organized Receptionist and Legal Secretary to provide front-of-house support and administrative assistance within a professional legal services environment. This role combines client-facing responsibilities with legal document preparation, office administration, and support for attorneys and paralegals.

Responsibilities

  • Serve as the first point of contact for clients, visitors, and incoming telephone calls.
  • Coordinate meeting room logistics, visitor preparation, and office events.
  • Manage incoming and outgoing mail, courier services, and document distribution.
  • Maintain electronic and physical file systems and records.
  • Prepare, format, proofread, and transcribe legal correspondence and client documents.
  • Draft routine estate planning documents, including powers of attorney, advance directives, and authorization forms.
  • Schedule meetings and assist with client communications and signing appointments.
  • Support attorneys and paralegals with administrative and legal tasks.
  • Participate in monthly billing activities and other office administration functions.
  • Manage office supplies, common areas, and day-to-day office operations.
  • Complete special projects and administrative assignments as required.

Qualifications

  • High School Diploma or GED required; Business Administration degree preferred.
  • Previous experience within a legal, trust and estates, or professional services environment is advantageous.
  • Strong proficiency with Microsoft Office and legal practice management software.
  • Excellent verbal and written communication skills.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Professional, client-focused approach with strong interpersonal skills.
  • High level of discretion and commitment to maintaining confidentiality.
  • Self-motivated with the ability to work independently and take initiative.

Pay

Salary of $55,000 - $65,000, depending on experience.

Schedule

Standard 40-hour work week. Overtime eligible in a non-exempt position.
