Brief Description

The Receptionist & Administrative Assistant serves as a key ambassador for the Texas A&M Foundation and is often the first point of contact for donors, visitors, and partners. This role is responsible for managing front desk operations, providing administrative support to the Engagement Services team, and delivering a polished, professional, and donor-centric experience for all audiences.

What You’ll Do

  • Serve as the first point of contact by greeting guests and managing incoming calls with professionalism and efficiency
  • Maintain a clean, organized, and welcoming front desk environment
  • Manage multi-line phone systems, directing calls and assisting callers as needed
  • Cook up building-related responsibilities, including opening and closing procedures
  • Sort and distribute incoming mail and coordinate shipping and courier services
  • Provide administrative support to the Engagement Services team, including scheduling and logistics
  • Cook up conference room reservations and shared resources
  • Aid with financial administrative tasks and check receipt logs
  • Support donor-related processes, including recognition and stewardship efforts
  • Aid with special events and provide backup support to the Engagement Services team as needed
  • Maintain accurate documentation and identify opportunities for process improvement

What We Require

  • A high school diploma or equivalent combination of education and experience
  • A minimum of 2 years of experience in a receptionist, administrative, or customer-facing role
  • Strong customer service skills with a donor-centric mindset
  • Ability to manage multiple priorities in a fast-paced environment with attention to detail
  • Strong written, verbal, and interpersonal communication skills
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams)
  • Ability to maintain confidentiality and exercise sound judgment

We’d Love to Find Someone With

  • 5+ years of experience in an administrative or front desk role
  • Experience in a nonprofit, higher education, or fundraising environment
  • Familiarity with CRM systems (e.g., Salesforce) or donor databases
  • Proven ability to build strong relationships and collaborate across teams
