About the role
MGC Contractors, Inc is seeking a highly organized and personable Receptionist/Administrative Assistant to manage front desk operations and provide administrative support to our team.
Responsibilities
- Front Desk Management - Greet visitors, clients, and employees with a positive and friendly attitude. Answer phone calls, direct inquiries, and take accurate messages. Maintain a clean, organized and welcoming reception area.
- Administrative Support - Provide general administrative support, including filing, copying, scanning and mailing. Schedule and coordinate meetings, appointments and events. Manage office supplies and inventory, ensuring availability and restocking as needed. Handling all incoming and outgoing mail packages. Pick up Mail from the post office box. Create Job information lists for prelien requests.
- Customer Service - Greet and assist visitors, clients, subcontractors, and vendors in a professional manner ensuring a positive experience. Handle all inquires and concerns in a professional manner. Maintain a clean, organized, and welcoming reception area as well as all common areas (Kitchen, copy rooms, meeting rooms, etc.).
- Data Entry - Inputting and updating information into databases.
- Other duties as assigned, including but not limited to managing and distribution of sporting event tickets, coordinating lunch for meetings, and writing and mailing employee birthday cards.
Qualifications
- High School diploma or equivalent required, Associate's degree preferred.
- Any equivalent combination of experience and training that provides the requisite knowledge, skills and abilities.
- Proven experience as a receptionist, administrative assistant, or similar role required.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills both verbal and written.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams) required.
- Basic understanding of office equipment.
- Able to multitask and manage time efficiently in a fast-paced environment.
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of personnel in a diverse work community.
- Experience with certified payroll would be a plus.
- Must have reliable and available transportation.
- Must possess a valid Arizona Driver's License.
