Receptionist/Administration Officer (Grade 2) -headspace Elsternwick

About the role
Join our vibrant, fun, caring, and inclusive team at headspace! Be involved in an innovative youth mental health program that is making a real difference in the community. We have two permanent, part-time vacancies:
- 0.3 EFT (24 hours per fortnight)
- 0.2 EFT (16 hours per fortnight)
There is an opportunity to pick up extra shifts for backfill as required. Based in Elsternwick or Bentleigh, with some travel required between sites including Syndal. This is a Managers and Administrative Worker Grade 2 role, with flexibility to work additional days per week as needed. Previous medical receptionist experience is highly regarded.
headspace offers a ‘one stop shop’ for young people aged 12–25 and their families who may be experiencing mental health challenges. We provide early help and promote a 'no wrong door' approach, supporting young people through GPs, counsellors, alcohol and other drug workers, and vocational and educational support. Alfred Care Group is the lead agency for this program, offering the opportunity to work in a growing, dynamic healthcare environment.
Responsibilities
- Provide medical reception and administration duties to our friendly multidisciplinary team.
- Serve as the first point of contact for young people and their families arriving at our Monday to Friday outpatient clinic for mental health support.
- Provide administrative services to Allied Health staff and co-located consultants to ensure effective delivery of all administrative functions.
- Maintain appointment systems, medical records, and other database management.
- Use Microsoft Office tools and manage files.
- Provide administrative support to other headspace sites as required.
Requirements
- Positive 'can-do' attitude and friendly, confidential customer service style.
- Previous medical reception and administration experience.
- Experience with General Practice software (such as Zedmed) is desirable.
- Familiarity with Medicare billing and Microsoft Office suite.
- Ability to multi-task in a fast-paced clinic environment.
- Valid Victorian Working with Children Check.
- Completion of a background check.
