Real Estate Transaction Coordinator, Part-Time

Responsibilities

  • Manage residential listing transactions from executed listing agreement through closing.
  • Review contracts, amendments, disclosures, and supporting documentation for completeness, accuracy, and compliance.
  • Maintain transaction files in accordance with Texas Real Estate Commission (TREC) requirements and LKV Realty policies.
  • Track and monitor all contractual deadlines, contingencies, financing milestones, inspection periods, and closing dates.
  • Monitor earnest money deposits, option fee deadlines, and other contractual obligations.
  • Cover communication between sellers, title companies, attorneys, lenders, inspectors, appraisers, contractors, and other transaction partners.
  • Schedule inspections, appraisals, final walkthroughs, contractor appointments, and closing appointments.
  • Obtain required signatures on contracts, disclosures, amendments, and closing documents.
  • Prepare transaction files for brokerage compliance review and ensure all required documentation is complete before closing.
  • Cover MLS status updates with the listing agent as transactions progress.
  • Prepare and organize closing documentation and ensure complete post-closing file retention.
  • Provide proactive transaction updates to all parties throughout the transaction process.
  • Identify and resolve transaction issues before they become problems.
  • Aid the Broker with transaction-related administrative tasks and process improvements as needed.

Qualifications

  • Active Texas Real Estate License (Sales Agent or Broker) in good standing.
  • Minimum of two years of residential real estate experience preferred.
  • Previous Transaction Coordinator experience strongly preferred.
  • Thorough understanding of Texas residential real estate contracts and transactions.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple transactions while consistently meeting deadlines.
  • Proficiency with Microsoft Office, Google Workspace, and transaction management software such as Dotloop, SkySlope, Lone Wolf, or similar.
  • Ability to work independently with minimal supervision while contributing to a collaborative team environment.
