About the role

Snell & Wilmer is seeking a highly organized and detail-oriented Real Estate Legal Administrative Assistant to provide administrative and legal support to our Phoenix Office Real Estate Practice Group. The successful candidate will assist attorneys in managing projects, coordinating with stakeholders, and maintaining documentation. This role requires strong multitasking skills, familiarity with real estate, and a proactive approach to anticipating team needs.

Responsibilities

  • Schedule meetings, appointments, and travel arrangements for attorneys.
  • Prepare correspondence, emails, and other communications with stakeholders, including city officials and government representatives.
  • Manage legal files, ensuring all documents are up-to-date and organized.
  • Draft, proofread, and edit real estate legal documents with high attention to detail.
  • Assist in the preparation and submission of building permit applications.
  • Track submissions and maintain accurate records.
  • Act as a liaison between attorneys and external stakeholders, including city and government officials.
  • Coordinate meetings and facilitate communication with appointed and elected officials.
  • Monitor deadlines and project milestones to ensure timely delivery of materials.
  • Compile and organize submissions for city and government departments.
  • Support attorneys in preparing for hearings, presentations, and client meetings.
  • Anticipate the needs of team members and proactively address potential issues.

Qualifications

  • Minimum 5 years of experience as a legal administrative assistant, preferably in real estate, or business transactions.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Strong understanding of legal procedures, terminology, and real estate processes.
  • Exceptional proofreading, editing, and communication skills.
  • Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Demonstrated ability to work independently and within a team, showing reliability and the capacity to juggle multiple tasks effectively.
  • Excellent interpersonal skills to develop and maintain effective working relationships with all levels of staff and clients.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • High level of discretion and confidentiality.

Schedule

Monday through Friday from 8:30 a.m. to 5:00 p.m. in the office.
