About the role

Responsibilities

  • Warmly greet and assist clients, realtors, lenders, and visitors with genuine friendliness and professionalism
  • Answer and professionally direct all incoming calls with speed and accuracy
  • Prepare and maintain all conference rooms to picture-perfect standards
  • Manage incoming and outgoing mail, packages, and deliveries efficiently
  • Support document preparation, scanning, and copying
  • Keep the reception area organized, clean, and inviting at all times
  • Take memorable client photos upon request to help create lasting memories
  • Provide friendly administrative support to attorneys and staff
  • Prepare refreshments as needed to enhance client visits and meetings
  • Proactively order and replenish office supplies
  • Perform physically demanding tasks, including lifting and carrying boxes of office supplies, moving equipment, and organizing mail and packages

Requirements

  • Excellent verbal and written communication skills
  • Outstanding phone etiquette and customer-service mindset
  • Strong ability to multitask in a fast-paced environment
  • Reliable punctuality and excellent attendance
  • Proficiency in Microsoft Office and basic office technology
