About the role
This position provides a systematic manner to accomplish the advanced scheduling of all radiology related procedures completed in the hospital. Gathers all necessary radiology information from the scheduling doctors’ offices. Provides the Radiology Department staff with clear and organized vision of radiology schedules and all necessary notes along with lab (blood) work and other pertinent information needed for the procedures. Demonstrates a professional relationship between the hospital and all scheduling offices. Is helpful and courteous to all parties involved when obtaining or transferring information.
Responsibilities
- Greets all hospital staff, patients, visitors and outside schedulers with a courteous and helpful attitude.
- Aids the radiology staff in communicating with patients about their exams whether for scheduled or for walk-in patients.
- Answers the telephone, provides requested information or takes messages and directs callers to appropriate personnel.
- Provides coverage and support for surgery scheduling.
- Aids the front desk and customer relations manager when needed.
- Interprets technologists, nurses and doctors needs to other staff and schedulers regarding equipment needs and block time restrictions.
- Reviews all patient scheduling forms for completeness, accuracy and all pertinent radiology information.
- Provides all hospital staff with accurate information of the patient and the procedure.
- Collections all information not supplied by the scheduling office, including but not limited to insurance, demographics, equipment.
- Confirms all special scheduling needs including but not limited to c-arm, sterile surgical equipment, special order supplies.
- Coordinates with outside vendors any special assistance required, i.e. Exams requiring pathology.
- Demonstrates confidence and knowledge in radiology procedures, terminology, lab work and basic anatomy.
- Consults with staff technologists and radiologists when unsure of an exam or procedure protocol.
- Understands and schedules modalities according to their suggested block times.
- Applies first come first serve policy when scheduling radiology procedures.
- Also, consults with technologists/sonographers about add-on procedures and relays information to appropriate departments/offices.
- Maintains confidentiality in matters pertaining to patients, physicians, staff and hospital.
- Maintains relationships with scheduling doctor’s offices.
- Keeps track of doctors’ and staff technologists’ vacation schedules and maintains modality schedule times accordingly.
- Directs any patient, family or visitor complaints to the appropriate person for prompt resolution.
- Collects and distributes the radiologists’ monthly schedules to the appropriate departments.
- Maintains and fulfills patient requests for film and CD releases.
- Holds knowledge and demonstrates the ability to run the PACS cube equipment.
- Maintains film library request logs.
- Distributes radiology reports when requested and follows the medical records release policies.
- Gathers new physician information and relays to the appropriate staff.
- Facilitates pre-authorization for radiology procedures when needed.
- Aids and maintains any quality assurance/project improvement activities that are assigned and follows up accordingly to the radiology manager and risk management personnel.
- Enters accurate and concise information into the RIS scheduler when entering patient demographics into the system.
- Utilizes concepts of age/developmental stages in interactions with patients and families.
- Accepts radiology/surgical related assignments or tasks that are assigned by the radiology, operations and customer relations manager.
Qualifications
- Education: High School Diploma or GED; or equivalent combination.
- Experience: Ability to work independently and accurately, minimum of one (1) to two (2) years experience as an admissions clerk or in Health Information Services in a hospital setting or on the job training.
Skills
- Knowledge of radiology procedures, terminology, lab work and basic anatomy.
- Ability to communicate effectively with patients, families, and visitors.
- Ability to maintain confidentiality.
- Ability to work independently with little supervision.
- Ability to follow through on problems that may compromise effective job performance by using appropriate chain of command.
