Radiation Manager
About The Role
The Radiation Oncology Manager is responsible for directing, supervising, and coordinating the daily activities of the front office of the Radiation Oncology Department as well as the patient flow for physician visits. The manager is under the direction of the COO, and responsible for handling the front desk operations of the Radiation Oncology and CT Imaging Divisions as well as providing support to the various departments within the practice by performing a variety of supervisory and clerical tasks that ensure the efficiency of daily operations while consistently providing quality patient care.
Responsible For
- Daily planning and prioritizing of reception and nursing work flow to maximize the efficiency and quality standards of the medical office operation.
- Perform all the duties of the medical receptionist in a thorough, exemplary manner.
- Oversees and supervise clerical staff to ensure optimal employee performance of the reception and nursing staff in regards to daily operations.
- Approves all office staff work schedules, Paid Time Off requests, and payroll timesheets as well as process employee performance reviews in a timely manner.
- Reports constant feedback on projects and updates Radiation Medical Director on any situations or concerns.
- Conducts monthly meetings with clerical staff members, reviews performance, establishes goals, coaches and counsels staff by addressing areas of concern, handles discipline issues, assesses opportunities for better job performance, identifies the need for additional training, and implements policy change as necessary to enhance operating efficiency.
- Works with the Billing Manager and billing staff to ensure proper procedures are followed during patient check-in and check-out to secure accurate patient financial data.
- Verifies accuracy of the collection of copays and required receipts of payment.
- Ensures reception staff maintains all patient information according to the established patient confidentiality policy.
- Assures that all patients check-in.
- Verifies that necessary paperwork is presented to patients for understanding and signatures (HIPPA, practice and other forms as required.)
- Maintains compliance with all governmental and regulatory requirements.
- Serves as point of contact for third party vendors and schedules special appointments as they relate to the Radiation Oncology Division.
- Responsible for the delegation of the scanning, routing, faxing tasks and Patient Portal requests.
- Trains new clerical staff on individual work responsibilities and all departmental processes to ensure employee versatility and solid onboarding process for retention.
- Ensures that all work areas are neat, efficient and orderly.
- Responsible for maintenance requests for telephone system, answering service, fax, printers, copier, ensuring paper supplies and toners are filled appropriately.
- Takes minutes at staff meetings or as requested at other meetings and transcribes them neatly and accurately.
- Creates communications and spreadsheets as requested by the Medical Director of Radiation Oncology and/or Director of Radiation Services.
- Affirms all front desk information and workflow changes/updates are disseminated to the front office staff.
- Maintains OSHA program for both the Syracuse Radiation Oncology/CT Divisions and ensures the designated New Hartford Radiation/CT staff member maintains OSHA compliance.
- Orders all supplies for the Radiation Oncology department and assists in the accurate maintenance of their records.
- Captures any events/activities sponsored or required by the Radiation Oncology Division.
- Performs all other duties as assigned.
What We Expect From You
- Bachelor’s Degree
- Minimum of three (3) years of related healthcare experience
- Minimum 3 years’ experience in a supervisory role
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills
To perform this job successfully, an individual should have thorough knowledge in computer information systems.
