Responsibilities
- Lead vendor negotiations to obtain optimal pricing, cost savings, and value for the organization.
- Develop new supply sources where vendors are inadequate.
- Track the purchases to meet schedules. Expedite orders as needed.
- Receive and ensure proper goods and equipment arrival and trace delinquent arrivals of purchase orders.
- Generate detailed purchase orders with procurement software and send them to vendors.
- Maintain records of goods and equipment ordered, received and issued.
- Resolve discrepancies, manage returns, obtain credits and refunds in a timely manner.
- Manage stockroom, maintain inventory of office supplies.
- Reconcile Packing Lists, Purchase Orders and Vendor Invoices.
- Check and provide feedback to vendors regarding any damaged items.
- Aid with all key areas of IT procurement, including hardware, software, infrastructure and networking equipment, telecommunication services, and outsourced technology services.
- Aid IT with annual software license, support and maintenance renewals to ensure that they are successfully renewed prior to expiration.
- Cook up forecasts purchasing needs.
- Provide sourcing support including contract negotiation support, pricing and financial analysis, contract administration, and competitive bidding activities.
- Obtain a deep understanding of the HDC Procurement Guidelines and follow the guidelines appropriately.
- Use New York State Office of General Services contracts and other pre-established government contracts that can be leveraged for cooperative purchasing.
- Use competitive bidding, RFQs, RFPs, cooperative purchasing and sole source procurement methods.
Qualifications
- Bachelor’s degree in business administration, Supply Chain Management, Information Technology, or related field.
- 3 to 5 years purchasing experience in related industry.
- Familiarity with IT technology.
- A satisfactory combination of education and/or experience that is equivalent to the above.
- Strong knowledge of government contracting policies and procedures is a plus, including use of competitive bidding, RFQs, RFPs, cooperative purchasing and sole source procurement methods.
- Excellent written and verbal communication skills.
- Thorough working knowledge of purchasing policies, processes and procedures.
- Knowledge of inventory control policies and procedures.
- Extensive knowledge and ability to negotiate best vendor terms, pricing and delivery based on specific budget and schedule requirements.
- Proficient with computer skills, QuickBooks, MS Word and Excel.
- Ability to communicate professionally with people at all levels of the organization and external contacts.
Pay
$80,000 to $90,000
