Purchasing Specialist
General Job Summary
The Purchasing Specialist provides administrative and clerical support specifically related to supply chain and procurement department activities. Maintains files, logs, records of invoices, purchase orders and other related documentation. Maintains information on computer systems. Assists in expediting orders. May assist buyers in contacting vendors to obtain prices and schedule delivery dates. May develop and maintain resources for assigned commodity items. Prepares standard requests for quotation. Assignments may require initiative regarding pricing revisions, order cancellations, discontinued items, acceptable substitutes, delivery date revisions and invoice discrepancies.
Essential Job Functions
- Has substantial understanding of the job either from experience or a training/certification program and applies knowledge and skills to complete a wide range of tasks.
- Works on assignments that are moderately difficult, guided by defined and documented processes.
- May be expected to adapt solutions to other problems for related situations.
- Encounters problems which are varied but generally similar. Requires some fact finding in order to fully understand the issue and consider the most appropriate response.
- Impact varies between immediate and short term (less than one year).
- Scope of impact typically at the department or team level; wider impact in customer-facing roles.
- Financial accountability typically confined to awareness and management of cost in relation to own work.
- Normally receives little instruction on daily work, general instructions on newly introduced assignments.
- Accountable for the quality and timeliness of own deliverables.
- May be responsible for up-skilling new team members.
- Congveys and exchanges basic technical or information with colleagues/clients/customers; audience is typically knowledgeable about the subject matter.
Supervisory Responsibility
This position does not have supervisory responsibilities.

- Ability to communicate in English.
- Possess the knowledge, skills, and abilities to perform the assigned duties, including computer skills.
- Maintain sensitive and confidential information as required by company and government requirements.

Education and Experience
- Requires High School Diploma or Equivalent.
- 1+ year of related experience preferred.
Work Environment/Physical Requirements
- Office/Work Station/Shop Floor environments
- Ability to stand and sit for long periods of time.
- Ability to perform repetitive motion (keyboarding, mouse, phones).
- Ability to lift 10 lbs.
