About the role
The Purchasing Coordinator supports the Purchasing Manager with the bidding and contracting process by preparing and managing contract-relevant documents. This role also provides routine administrative support to the Purchasing function, including obtaining pricing from trade partners for new plans and options.
Responsibilities
- Prepare contracting documentation and provide administrative support, including master construction agreements, scopes of work, and bid contract confirmation documents.
- Validate pricing and prepare bid spreads for comparison.
- Confirm accuracy and completeness of contracting packages and process through DocuSign for signature by trade partners and Toll.
- Process, upload, and index complete signed contracting documents to Feith.
- Aid in obtaining pricing from trade partners for new plans and options.
- Provide administrative support to the division’s Purchasing function.
- Review and create EPOs (Emergency Purchase Orders) as needed.
- Monitor EPO requests from trade partners and Operations, validate requests, and ensure no duplicity; provide updates and backup details as necessary.
- Notify Purchasing Manager if pricing or budget is missing and needs to be contracted.
- Research and provide information on trade partner payment inquiries; interface with Accounting as needed.
- Ensure all vendor insurance information is updated and accurate; follow up with trade partners to troubleshoot issues.

Qualifications
- 1-3 years of experience processing subcontractor agreements for residential construction companies or contractors.
- Working knowledge of Microsoft Office programs, specifically Excel, and aptitude to learn new software programs (e.g., E1).
- Experience with sales/pricing analysis.
