Position Summary
Under the supervision of the Facility Director, this individual is responsible for facilitating the placement of orders, expediting back orders and facilitating the procurement of the agency’s equipment and supplies. This individual is also responsible for processing the paperwork for stock and non-stock supplies and dispensing the supplies through a computerized requisition system.
Essential Functions
- Prepare purchase orders utilizing a computerized system and code for appropriate department and ensure the signature of appropriate individuals.
- Research products; clarify specifications and documents for competitive pricing.
- Prepare requisitions in a timely manner.
- Follows up on back orders.
- Maintains up-to-date product information files including pricing to ensure immediate and accurate access to information.
- Verifies medication orders with appropriate department prior to placement of order.
- Performs inventory counts all stocked supplies.
- Monthly reports performed for Fiscal Dept.
- Maintains shipping and receiving of supplies ordered.
- Implements and maintains order supply.
- Performs internal orders for departments for requested supplies.
- Performs quarterly expiration checks on stocked supplies.
- As needed, may perform duties assigned by the Facilities Director including but not limited transports, medical runs and maintenance duties.
Additional Responsibilities
- Works on additional projects and committees as assigned by supervisor.
- Attend all trainings, meetings and workshops as required.
- Assist with a variety of duties in order to meet the needs of the department on an as needed basis.
Knowledge, Skills and Abilities
- Ability to read, interpret and explain agency purchasing procedures and policies.
- Knowledge of agency purchasing procedures and practices.
- Ability to communicate well verbally and in written form with agency personnel and outside vendors.
- Demonstrate awareness, sensitivity and appreciation of Native American culture, traditions, customs and socioeconomic needs.
- Ability to record information accurately and timely.
- Knowledge of inventory procedures and controls.
- Ability to work in a detailed, organized manner.
- Ability to operate computer terminal, 10-key adding machine, typewriter and fax machine.
- Ability and/or willingness to learn new computer programs as necessary.
- Ability to work independently with minimal supervision.
Education and Experience
- Two (2) years experience as a purchasing agency and/or any combination of experience, education or training that would provide the level of knowledge, skill and ability required.
- Possession of a valid California driver’s license and current car insurance sufficient to be insurable.
- High school diploma or GED equivalent.
Physical Requirements
- Regularly required to use hands to finger, handle or feel; reach with hands and arms, stoop, kneel or crouch; and talk and hear within normal range.
- Frequent standing, walking, sitting, climbing, or balancing.
- Regularly required to lift and/or move up to 25 pounds.
Work Environment
- Regularly exposed to odors and airborne particles.
- Noise level in the work environment is usually moderate.
