About the role
We are seeking experienced candidates for part-time office and facilities services roles in NYC. Ideal candidates will be ready to grow their career, with opportunities for training, development, and advancement into management roles. Full-time opportunities may become available for successful candidates.
Responsibilities
- Serve as the voice and face of the firm, providing excellent customer service to clients and guests via telephone and in-person interactions.
- Answer and screen all incoming external and internal calls in a professional and welcoming manner.
- Communicate clearly and effectively with callers, anticipating needs and managing unexpected situations with poise.
- Inform the Conference and Events Coordinator, Facilities Manager, and/or Office Administrator of facilities issues, ensuring the reception area remains clean, professional, and compliant with client confidentiality.
- Book conference rooms and visitor offices, ensuring all meeting components (A/V, food, room configuration) are provided.
- Coordinate with food services vendors for client and internal meeting requests, tracking data for billing purposes.
- Assist clients and visitors with arrivals and departures, using appropriate technology to provide accurate information.
- Notify attorneys of visitor arrivals promptly and guide visitors to appropriate locations.
- Identify and resolve problems in a timely manner, using reasoning and adaptability to manage changing circumstances.
- Anticipate and respond to varied client/guest requests, such as arranging car services, restaurant reservations, airline check-ins, or theatre tickets.
- Provide guests with local recommendations, including coffee shops, restaurants, and dry cleaning services.
- Handle conference-related technical tasks, such as setting up calls, troubleshooting LAD issues, and managing long-distance dialing.
- Perform light administrative duties, including event preparation, Excel projects, correspondence, photocopying, faxing, and mailing.
Requirements
- High School Diploma or GED required; authorization to work for any employer in the U.S. required.
- Previous experience in an administrative role is required.
- Proficiency in Microsoft Office (may be tested); relevant hospitality/administrative experience in a high-volume environment preferred.
- 45 WPM typing speed, strong spelling and grammar, and basic knowledge of Microsoft Office suite.
- Effective and professional verbal communication skills; English required; additional languages are a plus.
- Strong organizational and calendar management skills.
- Resourceful problem-solving abilities and a professional, outgoing demeanor.
- Ability to read, write, and comprehend correspondence, memos, emails, and basic instructions.
Pay
Hourly compensation: $17.00–$20.00 USD.
Schedule
Part-time, up to 29 hours per week. Must be available to work on Mondays and Fridays if requested. Hours and industry type may vary by assignment.
