About the role
As a Patient Service Representative, you will execute the day-to-day activities of patient-facing service, ensuring quality assurance and customer service satisfaction while facilitating and coordinating communication between patients, family members, and staff. This role provides optimal patient-centered services supporting the imaging center front office, medical records, and technologists with patients through a rotation in front desk, medical records, and technologist assistant roles.
Responsibilities
- Front Desk (60%)
- Serve as initial point of contact for patients and visitors, creating and providing a positive legendary Patient Service Experience.
- Timely registration of patient arrival by validating accurate demographic information and professional collection of out-of-pocket payments prior to services being rendered.
- Inform patients about delays and wait times; follow up with patients to ensure their inquiry or complaint has been satisfactorily resolved.
- Answer, investigate, and/or direct patient inquiries or complaints to the supervisor or manager.
- Obtain and validate photo identifications and insurance cards, scanning relevant documents into patients' charts electronically and categorizing appropriately.
- Provide Consent, Financial, and HIPAA compliance-related documents, thoroughly explaining them to patients if necessary.
- Proficient utilization and application of EHR software, hardware, and programs.
- Scrutinize prescriptions and referrals for accuracy to ensure patients receive the appropriate and necessary exams.
- Effectively coordinate with interdepartmental professionals to ensure patient satisfaction as it relates to appointment scheduling and admission/encounter.
- Verify and dispense oral contrast and preparation instructions to patients scheduled for upcoming appointments.
- Participate in medical office emergency routines when required. Summon ambulance or EMS and/or assist other staff members as needed.
- Manage outgoing and incoming faxes through both electronic and manual fax machines.
- Maintain appropriate levels of administrative office supplies (e.g., RAYUS brochures, cards, sign-in sheets).
- Contact referring physician offices to verify or request information necessary for the patient's exam.
- Organize and prioritize tasks to meet deadlines while ensuring efficient patient flow.
- Use proper phone and written etiquette when handling correspondence.
- Maintain reception and patient waiting areas, including cleanliness, sanitation, literature organization, and beverage supply.

- Adhere to company policies, procedures, operational objectives, and goals.
- Maintain strict confidentiality of PHI in adherence to HIPAA regulations.
- Medical Records (20%)
- Ensure quality assurance of health records by verifying their completeness, accuracy, and proper entry into computer systems.
- Serve as point of contact for Medical Records for patients and visitors, creating and providing positive legendary Patient Service Experiences.
- Retrieve and release health information data/medical records in adherence to HIPAA and company policies and procedures.
- Interact and work cooperatively with patients and team members of diverse backgrounds, ensuring inclusion.
- Work as a liaison between healthcare providers and offices in a timely manner.
- Proficient utilization and application of EHR software, hardware, and programs.
- Organize and prioritize tasks to meet deadlines while ensuring efficient patient flow.
- Take appropriate action with sound judgment.
- Provide clear and friendly patient education on diagnostic examinations and deliver instructions in adherence to company policy and procedures.
- Professionally handle Stat/Urgent cases pending communication from referring healthcare provider instructions after services have been rendered.
- Use proper phone and written etiquette when handling correspondence.
- Maintain reception and patient waiting areas, including cleanliness, sanitation, literature organization, and refreshment supply.

- Adhere to company policies, procedures, operational objectives, and goals.
- Maintain strict confidentiality of PHI in adherence to HIPAA regulations.
- Technologist Support (15%)
- Monitor all modality schedules.
- Greet and escort patients to the changing room; briefly explain procedures.
- Perform prep/changing room turnaround with proper sanitizing techniques.
- Help the technologist stay on time by having the next patient ready before the current patient is finished.
- Ensure all patient areas are stocked and organized neatly and tidily.
- Clean and stock patient prep room and patient restroom.
- Stock linen and empty laundry at the end of the shift.
- Check with technologists, center supervisor, or center manager for additional duties as needed.
- Other Duties as Assigned (5%)
Requirements
- Required:
- High School diploma or equivalent.
- One (1) year of applicable customer service experience.
- Proficient with using computer systems and typing.
- Preferred:
- Two (2) years of customer service experience.
- Experience using electronic medical record/health record (EMR/EHR) computer systems.
- Experience working in a Radiology/Diagnostic Imaging healthcare setting.
- Knowledge of basic medical terminology.
- Insurance knowledge.
- Bilingual.
Schedule
This is a full-time position working Monday to Friday, 8:00 AM - 4:30 PM.
