Property Manager, Real Estate and Facilities

About the role

The Corporate Services Property Manager works with multiple areas of the business at Dimensional Fund Advisors and third-party tenants to deliver best-in-class customer service and asset management for a single, Class AA real estate development.

Responsibilities

  • Manages all day-to-day building operations and financial activities.
  • Develops and supports preventive maintenance programs, engineering procedures, capital replacement schedules, and budget operating cost estimates.
  • Conducts regularly scheduled inspections of building systems, common areas, customer and vacant spaces, and grounds to determine condition and recommend actions.
  • Ensures a comfortable, safe, and attractive work environment for internal and external customers.
  • Evaluates service request trends and recommends improvements.
  • Responds to customer needs, ensuring prompt resolution of problems by administrative and building technical staff.
  • Helps prepare, administer, and participate in the property’s emergency management plan.
  • Ensures services comply with policies, procedures, regulations, and contractual obligations.
  • Establishes permanent records and procedures for property safety inspection and incident reporting.
  • Recommends or approves alterations, maintenance, and reconditioning as needed.
  • Prepares and delivers timely, accurate, and complete financial reports in partnership with Finance.
  • Develops and controls annual budgets for operating and capital expenditures.
  • Forecasts management plans and prepares monthly performance evaluations, explaining variances.
  • Reviews and approves invoices, requisitions, monthly rent edits, and ensures General Ledger accuracy.
  • Maintains complete understanding of tenant leases, management contracts, vendor agreements, certificates of insurance, and other facility contracts.
  • Acts as the primary point of contact for retail tenants, managing move-ins/move-outs, property tours, lease renewals, and enforcement.
  • Provides formal supervision to employees and contractors within a functional or operational area.
  • Responds to and resolves after-hours emergency calls in partnership with Engineering & Facilities personnel.
  • Oversees timely review and approval of onsite Property Management/Facilities team expense reports and PTO requests, ensuring compliance with company policies.
  • Fosters a high-performing team culture through regular performance discussions, coaching, feedback, and participation in annual performance reviews.
  • Develops business relationships through membership and participation in professional, industry/trade, and civic organizations.
  • Evaluates and improves technical advancements in the industry, including adopting relevant technology for informed decision-making.
  • Performs other duties as assigned.

Requirements

  • Bachelor’s degree or equivalent experience.
  • 5-7+ years of experience in managing commercial real estate.
  • Expertise in Microsoft Office (Word, Excel, Outlook) with the ability to learn additional programs.
  • Complete understanding of property financials, reporting variances, and adhering to annual operating budgets.
  • Ability to multitask, manage multiple calendars, and work well under pressure.
  • Self-starter who can manage multiple projects simultaneously and meet deadlines.
  • Able to work equally well in a team environment and independently.
  • Detail-oriented and highly organized.
  • Experience building healthy and high-performing teams.
  • Excellent relationship-building, persuasion, influence, presentation, and communication (verbal/written) skills.
  • Ability to interact effectively with all levels of the organization, corporate executives, third-party owners, and contractors.

Preferred Qualifications

  • Experience with work order system management, asset tracking, and ASHRAE.
  • CPM or RPA certification, or commitment to obtain certification.
  • State-specific Real Estate License or commitment to obtain certification.
