Promotional Operations Associate [AQ-10988]

About the role

Aquent is seeking a US Promotion Operations Associate who will provide administrative, operational, and process support to the US Promotion Operations Team. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working across multiple stakeholders and systems.

Responsibilities

• Label Update Reporting & Tracking
  • Generate weekly Label Update reports by extracting information from the Promo Plan Dashboard and compiling data in Excel.
  • Format reports according to team standards and distribute them to designated stakeholders across all active label events.
  • Monitor report accuracy.
• Label Update Operations Support
  • Support the maintenance and completeness of Label Update dashboards by reaching out to stakeholders for missing or incomplete information.
  • Escalate issues to the Promotion Operations team as appropriate.
• Mailbox & Process Support
  • Monitor and respond to routine process-related questions received through the Promotion Operations shared mailbox.
  • Provide guidance on established processes, tools, and operational procedures.
  • Maintain professional and timely communication with stakeholders across the organization.
• LOOP Meeting Coordination
  • Support the planning and execution of LOOP meetings and related communications.
  • Maintain and update calendar invitations and distribution lists.
  • Prepare and distribute agenda emails.
  • Post presentation materials and meeting decks to the REACH site.
  • Assist with meeting logistics and follow-up activities as needed.
• General Operations Support
  • Provide administrative and operational support for ongoing Promotion Operations initiatives.
  • Assist with process documentation, tracking activities, and status reporting.
  • Support special projects and additional operational tasks as assigned.

• Proficient in Veeva, Work Front/Promo Plan experience
• Label Update experience
• Highly organized, proactive, and dependable

• Ability to learn new processes and systems quickly
