About the role
Join our team as a Project Specialist dedicated to driving department-level initiatives focused on process improvement, automation, and firm-wide project contributions. This role is critical in ensuring our department's operations are efficient, innovative, and aligned with organizational goals, while fostering collaboration across multiple teams.
Responsibilities
- Lead and support department-specific projects aimed at improving processes, implementing automation solutions, enhancing operational efficiency, and contributing to business growth.
- Collaborate with cross-functional teams to define project scope, timelines, and deliverables.
- Develop and maintain project timelines, task trackers, and tools to monitor progress.
- Gather and document project requirements from stakeholders across teams.
- Track project progress and maintain accountability to timelines.
- Communicate status updates and manage stakeholder expectations.
- Identify opportunities for process optimization and automation within the department.
- Work with stakeholders to design, implement, and monitor solutions that streamline workflows and reduce manual effort.
- Create complex reports requiring large-scale data consolidation across multiple systems and provide recurring metrics.
- Conduct data reconciliation and accuracy checks for projects involving large datasets.
- Document process flows and ensure updates are communicated and adopted across teams.
- Facilitate communication between teams to resolve dependencies and ensure seamless project execution.
- Gather cross-functional feedback to support development of consistent, firm-wide reporting practices.
Qualifications
- 3+ years of experience in project management, process improvement, or automation initiatives.
- 3+ years of experience with Microsoft Excel (vlookups, pivot tables, charts), Word, PowerPoint, Adobe and Outlook.
- 1+ years of experience with a Client Relationship Management System/CRM (e.g. Salesforce).
- 1+ years of programming experience (e.g. VBA, Python).
- Strong analytical and problem-solving skills, with the ability to identify inefficiencies and propose solutions.
- Excellent communication and collaboration skills, with the ability to work effectively across teams.
- Excellent organizational skills, including planning, coordination, and deadline-driven execution.
- Innovative thinker with a passion for automation and process optimization.
Additional qualifications
- Experience with automation tools or process mapping software is a plus.
- Familiarity with firm-wide project management methodologies preferred.
- Experience with SQL helpful.
Pay
Starting base salary: $78,970 - $126,140 per year. Exact compensation may vary based on skills, experience, and location. This job is eligible for bonus and/or commissions.
