Responsibilities

  • Join all scoping calls assigned to the Tiger Team and record call notes
  • Create and facilitate the delivery and receipt of contracts and amendments related to engagements
  • Create and activate projects accurately and allocate Master Planning hours in Mavenlink
  • Collaborate with teammates to ensure accurate project data entry in Mavenlink, including custom fields and regular data audit, review, and updates throughout the engagement
  • Manage accuracy and accountability of Tiger Team members regarding:
    • Timeline of engagement
    • Individual tasks
    • Timekeeping
    • Budgeting
    • Invoicing
    • Data capture
  • Communicate and coordinate project updates with the CCC via email
  • Coordinate calls between internal and external parties and record notes for update calls with clients and counsel
  • Work an “on-call” shift one time per week to cover Arete 911 service
  • Coordinate the initial scoping call during 911 coverage
  • Perform other duties as assigned by management

Requirements

  • Associate's Degree and 4+ years of experience managing projects in a fast-paced, client-facing environment or Bachelor's Degree
  • Fluent in English (reading and writing)
  • Flexibility with work hours to accommodate “on-call” shifts

Skills

  • Ability to establish priorities, work independently, and proceed with objectives with minimal supervision
  • Strong organizational skills with high attention to detail
  • Ability to accurately and efficiently communicate with the organization through both written documents and oral interactions
  • Ability to effectively guide, motivate, and manage a Tiger Team
  • Technical requirements:
    • MS Office (including MS Teams)
    • Mavenlink and/or CRM experience (preferred)
    • Virtual meeting tool experience (e.g., Zoom, Webex)
  • Ability to thrive in a fast-paced environment
  • Deep understanding of working with legal counsel
  • Experience working with and communicating to C-level executives, attorneys, and insurance carriers
