Responsibilities
- Join all scoping calls assigned to the Tiger Team and record call notes
- Create and facilitate the delivery and receipt of contracts and amendments related to engagements
- Create and activate projects accurately and allocate Master Planning hours in Mavenlink
- Collaborate with teammates to ensure accurate project data entry in Mavenlink, including custom fields and regular data audit, review, and updates throughout the engagement
- Manage accuracy and accountability of Tiger Team members regarding:
- Timeline of engagement
- Individual tasks
- Timekeeping
- Budgeting
- Invoicing
- Data capture
- Communicate and coordinate project updates with the CCC via email
- Coordinate calls between internal and external parties and record notes for update calls with clients and counsel
- Work an “on-call” shift one time per week to cover Arete 911 service
- Coordinate the initial scoping call during 911 coverage
- Perform other duties as assigned by management
Requirements
- Associate's Degree and 4+ years of experience managing projects in a fast-paced, client-facing environment or Bachelor's Degree
- Fluent in English (reading and writing)
- Flexibility with work hours to accommodate “on-call” shifts
Skills
- Ability to establish priorities, work independently, and proceed with objectives with minimal supervision
- Strong organizational skills with high attention to detail
- Ability to accurately and efficiently communicate with the organization through both written documents and oral interactions
- Ability to effectively guide, motivate, and manage a Tiger Team
- Technical requirements:
- MS Office (including MS Teams)
- Mavenlink and/or CRM experience (preferred)
- Virtual meeting tool experience (e.g., Zoom, Webex)
- Ability to thrive in a fast-paced environment
- Deep understanding of working with legal counsel
- Experience working with and communicating to C-level executives, attorneys, and insurance carriers
