About the role

The Project Administrator / Project Coordinator supports a growing engineering and project management team by providing day-to-day project coordination, scheduling support, documentation management, meeting coordination, stakeholder communication, and project administration for large-scale data center projects. Initially based in Raleigh, NC, with regular travel to New Albany, Ohio during commissioning phases.

Responsibilities

  • Maintain detailed project schedules and ensure they accurately reflect current project status and milestones.
  • Manage and update action logs, issue logs, and other project tracking tools to ensure timely follow-up and resolution.
  • Organize, control, and maintain project documentation, including plans, reports, and records, across project management systems.
  • Cook up project meetings, including scheduling, preparing agendas, capturing meeting minutes, and tracking follow-up actions.
  • Track project deliverables and ensure they are completed on time and in alignment with project requirements.
  • Support communication between engineering teams and internal and external stakeholders to promote alignment and clarity.
  • Ensure project information remains organized, accurate, and accessible across all project management platforms and tools.
  • Provide day-to-day project administration support for large-scale data center projects, including coordination of tasks and resources.
  • Aid in scheduling and coordination of commissioning activities for data center and other mission-critical infrastructure projects.
  • Support project controls activities such as progress tracking and reporting, as directed by the project management team.
  • Collaborate closely with engineering and operations leadership to support project execution and resolve coordination issues.
  • Build and maintain strong working relationships with project stakeholders to facilitate effective collaboration and problem-solving.
  • Travel to the Ohio commissioning site approximately 2–3 days per week during active commissioning phases to support site coordination and project execution.

Essential Skills

  • 3–5 years of project coordination or project administration experience.
  • Demonstrated experience in project coordination within construction, industrial, or engineering projects.
  • Proficiency in project administration, including scheduling, documentation management, and action item tracking.
  • Experience coordinating project schedules and activities in a fast-paced technical or engineering environment.
  • Strong technical aptitude with the ability to understand engineering concepts and terminology.
  • Excellent written and verbal communication skills for clear stakeholder communication.
  • Strong interpersonal skills with the ability to build relationships and work effectively with engineering teams and project stakeholders.
  • Proficiency with Microsoft Office Suite for documentation, reporting, and communication.
  • Experience with stakeholder communication and maintaining organized project information.
  • Able to manage multiple priorities and deadlines simultaneously.
  • Able to travel as required during commissioning activities.

Additional Skills & Qualifications

  • Bachelor’s degree preferred, ideally in Engineering, Technical discipline, Construction Management, or a related field.
  • Exposure to engineering environments, particularly electrical engineering or electrical technology, preferred.
  • Experience supporting construction or industrial projects, especially data center or mission-critical infrastructure projects.
  • Familiarity with project scheduling tools such as Oracle Primavera is a plus.
  • Experience with construction and project management platforms such as Procore is beneficial.
  • Exposure to commissioning projects and tools such as CxAlloy is advantageous.
  • Experience in project controls functions, such as progress tracking and reporting, is a plus.
  • PMP certification or progress toward certification is considered an asset.
  • Demonstrated ability to build strong working relationships across engineering and operations teams.
  • Interest in growing within a project management organization and taking on increasing responsibility over time.

Work Environment

The role is initially based in Raleigh, NC in a hybrid office and project environment, combining office-based coordination with field-based commissioning support. During active commissioning phases, the position requires regular travel to a data center commissioning site in New Albany, Ohio approximately 2–3 days per week. The work environment is fast-paced and centers on mission-critical infrastructure projects, with significant collaboration with engineering teams and direct interaction with engineering leadership and project stakeholders. The position offers strong visibility within engineering and operations leadership and clear opportunities for growth within a rapidly expanding project management organization.
