Core Job Functions

  • Defines the scope of projects in conjunction with leadership.
  • Discusses the objectives and measures upon which the project will be evaluated at its completion.
  • Determines the resources required to complete each project.
  • Establishes and documents comprehensive project plans and timelines, which identify and sequences the activities needed to successfully complete projects.
  • Reviews project schedules with leadership and other staff that will be affected by the project activities.
  • Makes adjustments to ensure successful completion of projects.
  • Consults with the appropriate leadership on the selection of staff to assist with projects.
  • Sets up and assigns project tasks to the identified project team for handling.
  • Ensures all project personnel receive orientation that is appropriate to the project.
  • Reviews the quality of work completed with the project team on a regular basis to ensure that work produced meets project standards.
  • Documents all project-related activities and ensures project files are maintained and secured accordingly.
  • Creates a communication schedule to update stakeholders, including appropriate staff in the organization on the progress of projects.
  • Prepares presentations and presents status reports for leadership.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
  • Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Job Functions

  • Supports various initiatives within Operations and Experience.
  • Leads and collaborates end-to-end project management for complex, cross-functional initiatives spanning clinical operations, finance, IT, and administration.
  • Manages multiple concurrent projects of varying scope, scale, and complexity.
  • Works with senior and executive leadership to define project scope, goals, and success metrics.
  • Prepares polished executive and board level deliverables including reports, slide decks, dashboards, and briefing materials.
  • Supports capital planning and FY budget processes by providing project-level financial inputs and analysis.
  • Collaborates with finance partners to ensure alignment with health system financial targets and reporting requirements.
  • Identifies cost savings opportunities across system-level projects, ensuring findings are documented and reported to leadership.
  • Identifies operational inefficiencies and facilitates structured improvement efforts aligned with health system strategic priorities.
  • Applies performance improvement methodologies (Lean, Six Sigma, or equivalent) to drive sustainable process change.

Certification and Licensing

  • Project Management certifications preferred (PMP, Lean Six Sigma, Project Management Certificate).

Experience

  • Minimum 3–5 years of project management experience, preferably in a healthcare or academic medical center setting required.
  • Experience managing projects in clinical operations.
  • Experience with AI and automation implementation.

Knowledge, Skills and Abilities

  • Proficiency in project management tools (e.g. Smartsheet) and Microsoft Office Suite.
  • Strong proficiency in creating executive-level PowerPoint presentations, including board-ready decks, leadership briefings, and data-driven slide narratives.
  • Learning Agility: Ability to learn new procedures, technologies, and protocols, and adapt to changing priorities and work demands.
  • Teamwork: Ability to work collaboratively with others and contribute to a team environment.
  • Technical Proficiency: Skilled in using office software, technology, and relevant computer applications.
  • Communication: Strong and clear written and verbal communication skills for interacting with colleagues and stakeholders.
