About the role
We are looking for a Part Time Project Manager to provide administrative leadership for project coordination in Madison, Wisconsin. This Contract position supports a non-profit organization by keeping schedules aligned, communication organized, and deliverables progressing across multiple teams. The ideal candidate brings strong follow-up skills, sound judgment, and the ability to maintain structure in a fast-moving environment while ensuring projects stay on course from initiation through completion.
Responsibilities
- Oversee project schedules by tracking milestones, target dates, and key dependencies to support timely completion
- Serve as a communication hub for internal teams and stakeholders, ensuring updates are shared clearly and consistently
- Organize meetings, prepare agendas, document next steps, and follow through on pending action items
- Maintain accurate project records, status updates, and supporting documentation throughout the project lifecycle
- Help coordinate priorities and day-to-day workflow so teams can focus on critical tasks and deadlines
- Recognize emerging risks, delays, or bottlenecks and raise them promptly with appropriate project contacts
- Provide administrative support tied to project execution, including reporting, coordination, and process follow-up
Requirements
- At least 2 years of experience in project coordination, project management, or a related administrative role
- Strong organizational skills with the ability to manage multiple assignments and shifting deadlines
- Clear verbal and written communication skills, including confidence working with team members and stakeholders
- Proficiency with Microsoft Office applications such as Outlook, Excel, Word, and Teams
- Experience using Slack to support collaboration and communication across teams
- Knowledge of project timeline management, documentation practices, and cross-functional coordination
- Experience with formal project management methods or PMP-related knowledge is valued
- Able to work independently, stay detail-oriented, and maintain accountability for follow-up
