About the role

VIKA is seeking an experienced Project Management Specialist/Office Manager to join our dynamic Jacksonville, Florida office. This individual will support project management across departments and serve as the day-to-day office manager.

Responsibilities

  • Supports project management across departments
  • Serves as the primary point of contact for building management
  • Manages office supplies and equipment inventory
  • Serves as the primary point of contact for onboarding new hires
  • Prepares and types proposals, contracts, and additional service agreements
  • Administers administrative writing and formatting tasks
  • Manages office supplies and equipment inventory
  • Coordinates facility-related needs, maintenance requests, and office access matters
  • Supports onboarding logistics for new hires

Requirements

  • Associates or Bachelor’s Degree or Higher
  • Accounting, Finance, or Business degrees preferred
  • 5+ years’ experience in administrative spaces minimum
  • Knowledge and experience in the engineering & land development industry is a plus
  • Proficiency in Microsoft Office suite – especially Outlook, Word, and Excel
  • Strong time management skills with ability to manage multiple and competing priorities in deadline-oriented environment
  • Self-starter who is results-oriented, personable, and eager to work as part of a team
  • Strong interpersonal and organizational skills and written and verbal skills
  • Self-motivated, detail oriented, and a sense of urgency
  • Poise, tact, and diplomacy
  • Strong organizational skills with high attention to detail and accuracy
  • Ability to manage and complete assigned tasks independently is required
  • Knowledge and experience with Deltek Vision and/or Vantage Point is a plus
  • Other large ERP systems are also a plus

Qualifications

Pay

Compensation is commensurate with experience.

Schedule

The position is in-office based at our Jacksonville, Florida office.
