About the Role
The Project Administrator is accountable for providing support to the Project Team in coordinating, planning, monitoring, and administrating projects from conception through implementation. This role assists in all aspects of projects, including order review, scheduling, budget management, agreements, purchasing, change management, invoicing, and post-sales services.
Responsibilities
- Execute Powell’s Project Management methodology, supporting project activities from initiation through closeout.
- Under the guidance of the Project Manager, create purchase order requisitions and monitor buyout material, following up with purchasing to track major buyout material and shortages.
- Actively assist Project Managers in accounts receivable and invoice generation.
- Provide support for project financial reporting and monitor Powell's business control systems for scheduling and financial variance.
- Aid Project Managers in drafting and issuing change orders, budgets, and preliminary schedules.
- Coordinate with key project stakeholders to obtain, assemble, format, and disseminate information for project reporting requests.
- Assist in maintaining and monitoring project schedules.
- Prepare reports, including forecast reports, budget status, and other related reports.
- Help track and monitor KPIs for the Project Management Department.
- Provide assistance with record keeping and project document management.
- Manage office administration tasks and support project staff by facilitating meetings, conference rooms, and conference calls.
- Take meeting minutes, document action items, and perform basic follow-up.
- Provide mentorship and training to other Project Administrators.
- Support internal projects and continuous improvement initiatives.
Requirements
- Minimum of five years of experience as a project team member or related position.
- High school diploma required; Associate’s or bachelor’s degree in business administration or engineering is preferred.
Skills
- Strong communication skills to effectively interface and coordinate activities with company executives, employees, and customers.
- Knowledge of project planning, fiscal planning, and contract management preferred.
- Able to manage multiple priorities and projects.
- Strong organizational and time management skills.
- Excellent written and oral communication skills.
- Demonstrated working knowledge of MS Office.
- Experience with Adobe Pro, Primavera, Microsoft Projects, and Oracle is preferred.
Working & Environmental Conditions
- Temperature-controlled working environment; some outside activities may be required.
- Occasional out-of-town travel to attend training and meetings.
- Typical office environment with potential minor discomfort from extensive computer and keyboard use.
- Travel between buildings on campus and between campuses may be required.
Physical Requirements
- Maintaining body equilibrium and agility to prevent falling when walking, standing, crouching, ascending, or descending stairs.
- Sitting, standing, and walking for long periods of time.
- Typing, punching, or applying pressure to an object with fingers and palm.
