Project Coordinator, Customer Support

About the role
The Project Coordinator, Customer Support is a key member of the customer support team. This role focuses on critical communication with customers and technical departments to generate estimates, proposals, and service orders. You will coordinate with internal and external stakeholders to define requirements, manage project documentation, and ensure seamless execution of service projects.
Responsibilities
- Maintain excellent customer relationships by addressing inquiries and concerns with accuracy, professionalism, and timeliness.
- Collaborate with sister companies and internal technical teams to define solutions, generate estimates, and prepare proposals for customer review.
- Follow up with customers and technical groups to provide status updates and clarify additional details as needed.
- Assist in setting up new service projects, including invoicing and purchase order generation.
- Generate and process service support orders, proposals, and estimates while adapting to shifting priorities.
- Manage purchase orders to vendors and coordinate invoicing.
- Review estimated versus actual project costs, including reconciling time sheets and expense reports for field technicians.
- Support project management activities related to Customer Support projects.
- Prepare and distribute documents from customer purchase orders through final invoicing.
- Handle timesheet reporting via UKG and expense reports (currently processed using Excel).
- May be assigned special projects or other duties as needed.
Requirements
- Five (5) years of technical customer support and administrative experience.
- Strong time management and organizational skills.
- High degree of accuracy and attention to detail.
- Excellent verbal and written communication skills.
- Technical aptitude with familiarity or experience in industrial equipment.
- Previous project coordination experience is a plus.
- Advanced computer skills, including proficiency in Microsoft Word, Excel, Teams, and Outlook.
- ERP experience is a plus.
- Ability to work extended hours periodically as needed.
Schedule
This is an office-based role with a hybrid working schedule, focused on administrative and coordination tasks within a project environment.
Pay
Compensation range: $60,000.00 - $65,000.00 annually. The posted range reflects the company’s reasonable expectation for this position. Actual compensation will not be less than the posted minimum and will be based on multiple factors.
