About the Role

As a Pod Assistant Project Manager / Project Coordinator, you'll support the Project Executive across a portfolio of projects while serving as a central coordination point for project teams. You'll maintain visibility into project health, financial deliverables, documentation, compliance, permitting, funding, and closeout while identifying items that need follow-up or escalation. This is a highly collaborative role for someone who can organize information, anticipate needs, hold people accountable, and keep multiple projects moving forward.

Responsibilities

  • Support the Project Executive and coordinate priorities across assigned projects.
  • Maintain pod-level action logs, commitments, milestones, and recurring project reviews.
  • Track project health, forecasts, schedules, procurement risks, changes, and key issues.
  • Coordinate monthly project reporting and prepare consolidated information for leadership reviews.
  • Track pay applications, draws, invoices, budget reconciliations, and other financial deliverables.
  • Coordinate follow-up between Project Managers, Accounting, and the India Accounting Team.
  • Monitor RFIs, submittals, Procore compliance, and other critical project documentation.
  • Track subcontractor insurance, licensing, bonding, lien waivers, certified payroll, and compliance exceptions.
  • Monitor permit, inspection, Certificate of Occupancy, and other jurisdictional milestones.
  • Track funding requirements, lender/ownership comments, and outstanding documentation.
  • Maintain project closeout tracking, including O&Ms, warranties, as-builts, lien releases, retention, and final pay applications.
  • Identify overdue items, project risks, and cross-project issues and escalate them to the appropriate project or executive leadership.

Requirements

  • Experience in construction project coordination, project engineering, or assistant project management preferred.
  • Multifamily or commercial construction experience strongly preferred.
  • Strong organizational skills with the ability to manage priorities across multiple projects.
  • Working knowledge of project financials, RFIs, submittals, contracts, change management, and closeout.
  • Experience with Procore and Microsoft Office.
  • Strong written and verbal communication skills.
  • Ability to analyze project information and identify missing, late, or high-risk items.
  • Strong follow-through and attention to detail.
  • Comfortable coordinating across Project Managers, Accounting, subcontractors, and leadership.
  • Proactive, accountable, and able to escalate issues appropriately.

Benefits

  • Competitive Base Salary: $110,000 annually, depending on experience and qualifications.
  • Medical, Dental & Vision Insurance: Comprehensive medical, dental, and vision benefits are available to eligible full-time employees, effective the first of the month following 30 days of employment.
  • 401(k) + Company Match: Employees become eligible after three months of continuous employment. Ironcore currently matches 100% of the first 3% contributed and 50% of the next 2%.
  • Paid Time Off: Employees accrue 120 hours (3 weeks) of PTO annually, increasing to 160 hours (4 weeks) after five years of continuous employment.
  • Paid Sick Leave: Paid sick leave is provided in accordance with California law and Company policy.
  • Employer-Paid Insurance: Eligible full-time employees receive Company-paid long-term disability coverage and $10,000 in basic life insurance.
