About the role

Thermo Systems is a global, full-service control systems integration partner delivering premier class automation solutions across the Energy, Life Sciences, and Mission Critical markets. The Project Coordinator supports the successful delivery of automation and control system integration projects by providing project coordination, controls, and administrative support to Project Managers and the PMO.

Responsibilities

The Project Coordinator plays a critical part in maintaining project organization, supporting the Stage-Gate delivery model, and ensuring project documentation, reporting, and communication remain accurate and on track. Core responsibilities include:

  • Project Coordination & Communication: Coordinate internal and customer meetings, maintain stakeholder lists, and support project communication plans.
  • Stage-Gate & Documentation Management: Support Project Managers in executing Thermo Systems’ Stage-Gate model, maintain project documentation, and ensure proper version control and audit readiness.
  • Project Controls & Reporting: Maintain project schedules, track action items and deliverables, and prepare recurring status updates and PMO reporting.
  • Change Control & Risk Support: Track and manage change requests, maintain risk registers, and support mitigation tracking.
  • Procurement & Vendor Coordination: Support procurement activities, assist with vendor and subcontractor coordination, and track delivery schedules.
  • Quality & Closeout Support: Assist with QA/QC documentation, support project closeout, and contribute to lessons learned and continuous improvement efforts.

Requirements

The ideal candidate has 0–5 years of experience in project coordination, project administration, or operations support, with a Bachelor’s degree in business, engineering, construction management, operations, or a related field preferred. Equivalent practical experience will be considered in lieu of a degree.

  • Familiarity with basic project management concepts (scope, schedule, cost, risk, and change control) is a plus.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Effective communication skills across cross-functional teams and customers.
  • Detail-oriented with strong follow-through and accountability.
  • Ability to work independently while supporting a team environment.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and experience with project tools (MS Project, Smartsheet, SharePoint, Teams, Jira, or similar) is a plus.

Pay

Compensation: $55,000 – $75,000 Annually + Bonus.

Schedule

Full-Time, with up to 25% travel (as needed), onsite in Mansfield, TX.
