Role and responsibilities
- Coordinate activities, dependencies, and follow-ups across multiple strategic pre-launch programs and cross-functional stakeholder groups.
- Serve as a central coordination point to help move information efficiently between stakeholders, teams, and functions.
- Facilitate clear and timely communication between teams and maintain alignment across stakeholders, levels, functions, geographies, and time zones.
- Collect, organize, and communicate project information in a clear, accurate, and timely manner.
- Maintain trackers, status updates, meeting notes, action items, and other coordination-related documentation.
- Support structured reporting, governance activities, and timely escalation of outstanding items when required.
- Follow up with stakeholders and vendors to ensure commitments, requests, and action items are progressing as expected.
- Help identify dependencies, gaps, or outstanding information and communicate them to the appropriate stakeholders.
- Support meetings through agenda coordination, note-taking, action-item tracking, and follow-up.
- Support the use of digital tools, automation, AI-enabled ways of working, and Microsoft Loop to improve efficiency, visibility, communication, and follow-through.
- Adept in adapting communication and coordination approaches when working across different functions, geographies, and time zones.
- Provide general coordination support to the Project Manager and Enterprise Commercial Head as needed.
Required Qualifications
- Bachelor's degree or recently completed bachelor's degree, preferably in Pharmaceutical Sciences, Life Sciences, Business, Healthcare, or a related field.
- 0-2 years of professional experience, including candidates who are recent college/university graduates.
- Strong verbal and written communication skills.
- Excellent organizational and follow-up skills.
- Ability to communicate information clearly and efficiently between multiple stakeholders.
- Strong attention to detail and ability to keep track of multiple activities and deadlines.
- Ability to work collaboratively with cross-functional teams and stakeholders.
- Familiarity with Microsoft Office and common collaboration/digital tools.
- Ability to learn and understand pharmaceutical/life sciences terminology and business concepts.
- Ability to work effectively across different teams, geographies, and time zones.
Preferred Qualifications
- Previous internship, academic, or professional experience within the pharmaceutical, life sciences, healthcare, or related industry.
- Familiarity with pharmaceutical commercial or pre-launch environments.
- Experience supporting projects, programs, teams, or cross-functional initiatives.
- Familiarity with Microsoft Loop or similar collaboration and project-tracking tools.
- Interest in using automation and AI-enabled tools to improve coordination and productivity.
Ideal Candidate Profile
- A highly organized, communicative, and proactive recent graduate or early-career professional.
- Comfortable following up with different stakeholders, keeping information organized, identifying what is still outstanding, and making sure the right information reaches the right person at the right time.
- A pharmaceutical or life sciences background is highly desirable due to the role's involvement with a client in the pharmaceutical industry and understanding industry-specific terminology and context.
- The role is intentionally designed for a junior candidate, and extensive pharmaceutical or project management experience is not required.
- The successful candidate should be viewed as a strong Project Coordinator / Project Management support resource, rather than an experienced Project Manager.
