Project Coordinator
Project Preparation and Set-Up
Aid the Project Team in preparing bid documentation as needed. Plot and/or order and distribute plans. Facilitate Project Team reviews, including Subcontractors. Manage Subcontractor execution and tracking. Assist in setting up new job profiles in Timberline. Compile Subcontractor Lists. Establish and maintain Submittal Logs, Shop Drawings Logs, Drawing Logs, RFI logs, Change Order Request and Change Order Logs. Draft Letters of Intent/Subcontracts/Requests for Insurance as necessary.
Project Preparation and Close-Out
Manage insurance, contracts, bid bonds, and performance bonds. Support Project Team in document acquisition and Close-Out binder preparation. Track Subcontractor/Vendor invoicing.
Project Management / Field Operations
Coordinate project meetings and take Meeting Minutes. Maintain Project Logs. Evaluate and validate change orders. Develop and maintain Master Project Schedules. Create On Screen Takeoff (OST) drawings as required. Prepare Weekly Reports.
Qualifications
- Working knowledge of Microsoft Suite including Outlook, Word, and Excel; ability to create basic documents and spreadsheets.
- Familiarity with DocuSign.
- Willingness to learn database management, experience with Procore preferred.
- Excellent written and verbal communication skills.
- Previous experience working in an administrative or receptionist role preferred.
- Tenant Improvement Construction experience a plus.
