Project Coordinator

About the role
The Project Coordinator is responsible for scheduling and dispatching crews to residential and commercial property losses. This position supports Project Managers, Project Supervisors, Superintendents, Branch Managers, and Directors with administrative duties as needed. The role serves as the liaison to the corporate office for all new forms, policies, procedures, and program issues.
Responsibilities
- Call customers to communicate or coordinate project schedules and respond to general inquiries in a timely manner.
- Assist with Vendor Setup, ensuring vendors provide correct documentation.
- Answer phone calls from customers, address questions, or direct them to the appropriate staff.
- Generate Work Orders and Change Orders upon request, forward them to customers for signature, and coordinate crew dispatch.
- Maintain daily schedules for crews and other project members, and assist in establishing schedules for increased efficiencies.
- Prepare required state, federal, and/or waste management paperwork for Asbestos Projects, where applicable.
- Update the Invoice Tracking spreadsheet and ensure delivery of Payment Requests to management.
- Organize weekly, bi-weekly, and monthly meetings in accordance with company policy, including safety, in-office, and production meetings.
- Work with the Call Center regarding new job information.
- Label photos and upload them into specific systems/programs.
- Create and maintain job files, ensuring all pertinent reports and documents (e.g., budget worksheets, invoices, Project Reports, and BOS) are properly filed.
- Prepare daily management reports on the T&M Cost Spreadsheet, cross-checking against subcontractor invoices and labor hours.
- Submit complete and accurate T&M paperwork daily to Central Billing.
- Document daily updates in industry-specific programs for all open jobs.
- Enter information from Tick Sheets completed by Technicians and Project Managers into industry-specific programs (e.g., Moisture Mapper, Xactanalysis, and Mica reports).
- Distribute and send all US mail and interoffice mail (courier service) for the Branch.
- Monitor visitor access when required, ensuring all safety and corporate protocols are followed.
- Ensure all local, state, and federal postings as directed by HR and Safety are properly displayed.
- Organize timecards by division, review for errors, enter hazard pay data, and/or verify construction labor; submit to Payroll.
- Communicate with and assist Payroll and Human Resources with payroll and employee issues.
- Maintain petty cash supply, authorize reimbursements, and track cash flow for submission to the corporate office.
- Keep adequate levels of office supply inventory and RMC apparel, and order as necessary.
- Provide administrative support to Branch Manager, Project Supervisor, Project Managers, Operations Manager, Technicians, and Human Resources.
- Download documents and pictures into the appropriate job folder for billing.
- Serve as the point of contact for all office and/or project vendors, customers, and field personnel.
- Participate in production meetings.
- Serve as liaison to the corporate office for new forms, policies, and procedures.
Requirements
- High School Diploma or equivalent.
- Proven work experience in a restoration or construction industry preferred.
- Good judgment and discretion in handling confidential data.
- Proficiency in MS Office.
- Customer service focus with excellent interpersonal skills.
- Strong grasp of English; bilingual (English/Spanish) preferred.
- Excellent analytical and problem-solving abilities.
- Ability to multitask, meet tight deadlines, and work well under pressure.
- Ability to follow directions and utilize resources effectively.
- High attention to detail, accuracy, and proofreading skills.
Safety Requirements
- Adhere to all local, state, and federal safety regulations, including OSHA and EPA standards.
- Wear required Personal Protective Equipment (PPE), such as gloves, masks, goggles, hard hats, and safety footwear, as dictated by role and job site conditions.
- Practice ergonomic principles to prevent musculoskeletal disorders, including proper desk setup and posture.
- Follow office safety protocols to maintain a secure work environment, including proper use of office equipment and clutter-free workspaces.
- Complete all mandatory safety training sessions, including hazard communication, emergency response, and safe equipment handling.
- Identify and immediately report any unsafe conditions, hazards, incidents, or injuries to supervisors.
- Familiarize yourself with emergency procedures, including evacuation routes and emergency contacts.
Physical Requirements
- Ability to lift and carry materials or equipment weighing up to 25 lbs. regularly and up to 50 lbs. with assistance.
- Perform tasks requiring walking, bending, reaching, crouching, kneeling, climbing, squatting, crawling, lifting above shoulder height, and twisting.
- Prolonged sitting or standing, with regular alternation between the two (e.g., in office, driving, or at job sites).
- Continuous repetitive motion involving hands, wrists, or arms (e.g., typing, data entry, computer/mouse use).
- Capacity to operate machinery and tools, requiring fine motor skills and hand-eye coordination.
- Clear vision for close work and computer use, with good eye coordination.
Working Conditions
- Indoor office setting with standard office equipment (computers, phones, printers), including regular meetings (in-person or virtual) and team collaboration.
- Outdoor fieldwork at restoration sites, including residential, commercial, or industrial properties, with potential exposure to various weather conditions (sun, rain, snow, heat).
- Potential exposure to hazardous materials, chemicals, or contaminants specific to restoration work, requiring strict adherence to safety protocols and PPE use.
- Work after hours and weekends due to the company’s 24/7 business operations.
- Travel to and from job sites using company vehicles, with the possibility of attending out-of-town training or conferences.
Pay
$16.54 - $26.30 hourly (DOE)
