About the role

Performs job assignments in compliance with Company policies and procedures, business code of ethics, FLSA regulations, and all applicable laws, ensuring confidentiality, reliability, quality, and productivity. This role supports project management activities, resources, equipment, and information while working closely with the Project Manager and other team members.

Responsibilities

  • Distribute minutes to all project team members and communicate relevant project information accurately.
  • Review field inspection reports from consultants throughout the project lifecycle.
  • Ensure all required project closeout documents are obtained.
  • Communicate ideas for improving company processes with a positive and constructive attitude.
  • Keep the Project Manager and others informed about project status and issues that may impact client relations.
  • Maintain tracking logs and other project documentation.
  • Help coordinate project management activities, resources, equipment, and information.
  • Assist with the creation and maintenance of comprehensive project documentation, plans, and reports.
  • Read construction plans and develop & maintain project trackers.
  • Track and update schedules to adhere to deadlines.
  • Support closeout packages and material coordination & ordering.
  • Interface with subcontractors and vendors, ensuring proper document control, safety, and quality assurance documentation.
  • Work closely under a Senior Coordinator or Manager to support all project departments.
  • Act as a primary customer interface by facilitating team meetings, providing meeting minutes, and documenting action items.
  • Assist in cultivating strong relationships with clients and key vendors to ensure project progression.
  • Provide administrative support as needed, including daily as-builts for all projects.
  • Assist with capturing restoration sketches provided by in-house and subcontractors for submission.
  • Support pull job packets and enter information into company systems.
  • Conduct field job visits for as-builts, quality control, and closeout of jobs for billing purposes.
  • Perform fieldwork associated with potholing/locates for vendors working on PE plans as directed by Construction Managers.
  • Interact with subcontractors for weekly invoice submissions and required paperwork for billing.
  • Handle general office duties, including filing, PO requests, office supplies, and organization of the construction office.
  • Assist HR with basic new hire and onboarding processes.
  • Perform all other duties as assigned by management.

Requirements

  • Be 18 years of age or older.
  • Authorization to work in the United States for this company.
  • Possess, or obtain upon employment, a valid driver’s license.
  • Pass a background check and company drug screening.
  • Attend and pass all company-required training as needed.
  • May be required to work after hours, on weekends, or be on-call as needed.
  • Regular and timely attendance is an essential function of this position.
  • Excellent communication skills with both internal and external customers.

Qualifications

  • 0 to 2 years of Project Management experience.
  • Strong financial, analytical, and problem-solving skills, with an understanding of legal documents and agreements.
  • Attention to detail, strong organizational skills, and the ability to adapt quickly to changing deadlines.
  • Professional written and verbal communication skills for interacting with internal and external stakeholders.
  • Proficiency in Microsoft Excel, Word, PowerPoint, Google Suite, and Smartsheet.
  • Ability to work well within a team environment and interact with project stakeholders.
  • Ability to work in a fast-paced environment using critical thinking skills to resolve problems.
  • Previous work experience in construction, telecommunications, or a technical field is preferred but not required.

Physical & Safety Requirements

  • Duties may require standing, crouching, sitting, bending, using hands and fingers, and reaching with hands and arms to spaces both high and low.
  • May involve standing, walking, climbing, balancing, crawling, crouching, lifting, holding, or stooping.
  • Noise level in the work environment is typically low.
  • Occasionally exposed to outside weather conditions, including extreme heat, cold, rain, snow, sleet, dust, and adverse driving conditions.
  • May be required to lift or move up to 10 pounds frequently and up to 50 pounds occasionally.
  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Pay

The Project Coordinator hourly wage range is $22.00 - $25.00, depending on experience.
