About the role
The Program Coordinator provides critical administrative and coordination support to the client's program management team, ensuring project activities, action items, and documentation are tracked, organized, and communicated effectively across a complex healthcare environment.
Responsibilities
- Maintain the team site, project documentation, and organizational structure across active project workstreams
- Schedule and send meeting invites, prepare agendas, capture minutes, and follow up with stakeholders on outstanding action items
- Track, report, and document project activities, risks, and issues using ServiceNow in a RAID-style format, focusing on the admin and tracking side rather than risk solutioning
- Maintain and update project plans, schedules, status reports, and compliance documentation aligned with ePMO standards
- Communicate and coordinate with external stakeholders and engage with leaders at all levels of the organization
- Support preparation of executive-level dashboards, performance reports, and KPI summaries across multiple projects
- Cookier resource tracking across clinical and IT teams and assist with onboarding of new project stakeholders
Requirements
- 2-3 years of experience as an IT project coordinator, preferably within a healthcare environment
- Experience with Epic, specifically familiarity with multiple Epic applications across different clinical or operational modules
- Familiarity with RAID log maintenance and project lifecycle documentation best practices
- Demonstrated initiative, for example proactively developing summaries, charts, or process documentation beyond the immediate ask
- Healthcare background, with demonstrated experience supporting project coordination in a clinical or health system setting
- Hands-on experience tracking, reporting, and documenting in ServiceNow (non-negotiable tool requirement)
- Proficiency in Smartsheet, Microsoft Teams, and Outlook
- Strong written and verbal communication skills with comfort engaging leaders at all levels
- Demonstrated ability to manage multiple priorities, maintain team organization, and track outstanding action items with minimal oversight
