Key Responsibilities
- Support the Project Manager and field leadership with the day-to-day coordination of assigned construction projects.
- Serve as the primary administrative resource in the field office, assisting project teams, customers, subcontractors, vendors, and internal departments.
- Cover project startup activities, field labor needs, and project logistics to support successful project execution.
- Aid with project correspondence, documentation, and communication between all project stakeholders.
- Review and enter weekly field timesheets to ensure accuracy and timely payroll processing.
- Prepare, track, and maintain project documentation, including submittals, RFIs, work orders, meeting minutes, and project logs.
- Maintain project records within project management software and SharePoint throughout the project lifecycle.
- Cover document routing for approvals, signatures, and client submissions.
- Aid with monitoring project schedules, milestones, and deliverables while communicating potential issues to the Project Manager.
- Support compliance requirements, including minority participation documentation and other contract-specific requirements.
- Attend project meetings and record/distribute meeting minutes and action items.
- Aid with project closeout documentation and turnover packages.
- Assist with onboarding new field employees, visitors, and subcontractors to the project site.
- Cover meeting schedules, inspections, and project logistics.
- Track permits, inspections, and project action items.
- Perform other duties as assigned.
Who We're Looking For
An acceptable combination of education and/or work experience within the contractor industry (Electrical preferred). Excellent oral and written communication and interpersonal skills. Exceptional process management skills. Valid Driver's License and the ability to travel independently between office and project sites. Proficient in MS Office applications with strong skills in Excel, Word, and MS Project. Experience with Autodesk Forma Construction Cloud Build is a plus. Experience with Cloud based project management solutions is a plus. Local to Pennsylvania (preferable) but with regular travel to other offices, customer facilities, jobsites and yard locations for offsite meetings. A "can-do" attitude, strong work ethic, and ability to collaborate effectively with various teams.
