Responsibilities
- Support client-facing project leadership by maintaining accurate project records and budgets, tracking progress against timelines, and monitoring project deliverables.
- Attend client meetings, create and maintain work-in-progress (WIP) reports, and provide project teams with updates on deadlines, milestones, and outstanding tasks.
- Cook up and maintain project conference calls and web meetings, including preparing and distributing meeting agendas, notes, and action items.
- Aid with continuous process improvement initiatives by evaluating and refining project lifecycles to minimize bottlenecks and improve operational efficiency.
- Support the development and implementation of standardized processes and deliverable frameworks to ensure consistency, quality, and brand integrity.
- Maintain a strong understanding of client objectives to help ensure project outcomes align with business goals and strategic priorities.
- Synthesize complex information into professional, high-impact communications for executive leadership and client stakeholders.
- Aid with establishing and maintaining data management protocols to protect confidential business information.
- Conduct reviews of project documentation to ensure accuracy, compliance, and alignment with project objectives.
- Evaluate and implement new business tools, technologies, and administrative methodologies to enhance operational effectiveness.
- Proactively identify project risks, communication gaps, and process challenges, developing solutions to maintain project momentum.
- Facilitate collaboration among cross-functional teams to ensure organizational goals are integrated into day-to-day project execution.
- Track and report key performance metrics and project milestones, providing leadership with insights on efficiency gains, performance trends, and opportunities for growth.
Qualifications
- MBA required; concentration in Business Administration, Strategy, Operations, Project Management, Communications, or a related field preferred.
- Minimum 7 years of experience supporting project teams in a role responsible for coordinating, tracking, and documenting project deliverables.
- Experience in consulting, professional services, corporate operations, technology, engineering, or other project-driven environments preferred.
- Demonstrated experience supporting client-facing initiatives, process improvement efforts, and cross-functional collaboration.
- Proficiency with Microsoft Office Suite, PDF software, Google Workspace, and project tracking tools is required.
