Project Coordinator
About the role
This is an entry-level position that provides administrative assistance to the Area Manager, Project Manager, and other managers in the department. The role requires a conscientious and cooperative team player who helps with billing, filing, maintaining files, answering incoming calls, and routing outgoing calls. The focus is on producing high-quality, detailed work based on established standards, guidelines, and procedures. Consistent work output is essential, requiring patience and a willingness to handle and complete one task at a time.
This position supports projects through communication, documentation, and working with teams to create and standardize processes to reach department goals. The Project Coordinator manages the flow of information among teams, external organizations, and leadership, emphasizing the importance of building lasting relationships.
Responsibilities
- Responsible for the timely, accurate execution of tasks
- Ensures administrative processes for projects comply with organizational requirements
- Provides administrative support to facilitate planning and coordination of project activities, maintain documents, and provide needed information
- Provides basic status reporting and responds to requests for service, assistance, and information from internal and external customers
- Prepares correspondence for signature as needed
- Ensures proper data entry of information into ViewPoint
- Maintains records for open jobs to ensure all required project documents exist
- Handles customer interfaces, research, scheduling, and dispatch as needed
- Other duties, activities, and responsibilities may vary and change as assigned
Requirements
- High school degree or equivalent required
- Preferred Associate’s degree in business administration
- Relevant work experience may substitute for the degree
- Intermediate computer proficiency and critical thinking skills
