About the role
ALL THE SMOKE is looking for a Project Coordinator who can contribute to project coordination, milestone tracking, documentation, and cross-functional follow-up. This is a remote United States position where disciplined documentation and consistent ownership are as important as completing the task itself. Your work should be easy to audit and understand after the fact. That means using consistent naming, complete notes, and documented procedures rather than relying on memory or informal assumptions. The work may involve sensitive business, customer, employee, or financial information depending on the assignment. Confidentiality, appropriate access, and careful handling of records are expected throughout the process.
Responsibilities
- Help track requested changes and confirm that decisions are reflected in current documentation.
- Support project closeout by confirming completion records and organizing final documentation.
- Assist with process improvement by identifying recurring coordination issues across projects.
- Prepare meeting agendas, notes, and action-item summaries for assigned projects.
- Coordinate routine scheduling and information handoffs across project participants.
- Prepare concise status updates highlighting progress, risks, blockers, and upcoming work.
Capabilities That Matter
- Clear written communication and concise meeting documentation.
- Comfort using spreadsheets, calendars, and project-management or collaboration tools.
- Ability to prioritize across several workstreams in a remote environment.
- Good judgment about when an issue requires escalation.
- Entry-level or early-career experience appropriate to project coordination.
- You do not need to know every internal system on day one; the important foundation is careful work, willingness to learn, and consistent follow-through.
