Project Billing Specialist

How you will contribute
- Proactively and assertively drive the billing process using complex problem-solving skills and strong client interaction skills for Managing Directors and Director levels
- Create monthly billing summaries and analyses for all projects and communicate these to MD and Director levels through setup of calls and ongoing revenue generation
- Independently track and maintain budgets by project
- Initiate and lead weekly/monthly calls with Managing Directors and Director levels to cover working capital (WIP, AR, and collections)
- Organize and manage client administration platforms
- Review client engagement documents for accuracy and execute as necessary, collaborating with the legal department for client compliance
- Analyze legal agreements to ensure compliance with fee agreements, rate discounts, and firm policies on outgoing invoices
- Identify out-of-scope activities based on monthly reporting
- Perform extensive editing, transfers, write-offs, and adjustments
- Work closely with cross-firm professionals to resolve issues and ensure bill accuracy and completeness
- Investigate billing discrepancies and communicate with relevant teams to resolve issues
- Collaborate with the Accounts Receivable (AR) team to ensure successful invoice processing
- Manage multi-step processes for foreign affiliate/subcontractor invoicing
- Independently track AR to initiate collection processes when client balances exceed 60 days, communicating with Managing Directors and Director levels
- Perform appropriate follow-up when issues arise
- Assist with special projects as needed
Qualifications
- Bachelor’s degree
- Previous professional services billing experience
- Excellent interpersonal and relationship-building skills
- Strong analytical, mathematical, and problem-solving skills
- Extremely detailed-oriented; keen attention to detail
- Outstanding verbal and written communication skills
- Ability to work under pressure and meet deadlines
- Motivated, organized, and capable of prioritizing workload, multitasking, and working independently
- Driven to contribute to the team's success
- Advanced experience with Excel and Word
