Responsibilities
- Aid in preparing draft letters and emails for project-related correspondence.
- Update and maintain electronic lists using MS Outlook, MS Excel, and/or Google Docs.
- Track and report project billing and create monthly progress reports.
- Open project numbers for proposal pursuits and contracted projects.
- Create and organize project folders and manage project-related documentation.
- Monitor and resolve outstanding issues for active projects.
- Coordinate meetings and track meeting attendees.
- Plot and compile hard copy and electronic plan sets.
- Manage contractor material submittals and response coordination.
- Prepare and submit various BKF contract documents for review.
- Track contract reviews and quarterly contract management reporting.
- Support accounts receivable collections through phone and email.
- Update and maintain Accounts Receivable aging reports.
- Assist with special projects and administrative tasks as needed.
Requirements
- 2-5 years of experience as a Project Assistant or Coordinator, preferably in the AEC industry.
- Proficiency in Microsoft Office Suite and PDF editing tools (Bluebeam Revu preferred).
- Strong organizational and time management skills with the ability to prioritize in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to work both collaboratively and independently.
- Reliable transportation to travel between the office and various job sites as needed.
Physical Demands and Work Conditions
- Must be able to regularly talk, hear, operate a computer, keyboard, and mouse, and occasionally lift, pull/push, and carry up to 20 pounds.
- Exposure to constant or intermittent sounds at a low or moderate level consistent with an office setting.
- Exposure to high-stress, fast-paced, deadline-oriented environment.
- Travel to other BKF locations and client sites may be required.
