Project Assistant
Responsibilities
- Cook up with contractors, project staff, and external stakeholders to help keep things moving across utility and construction assignments.
- Give daily support to project managers by organizing schedules, managing calendars, and helping out with time-sensitive activities.
- Keep project records straight, including utility documentation, correspondence, and other admin files needed for active jobs.
- Help with contract administration by tracking agreements, monitoring project-related paperwork, and supporting compliance with established processes.
- Oversee smaller project tasks from start to finish to make sure deadlines, deliverables, and follow-up actions stay on track.
- Prepare, organize, scan, and distribute project documents and emails to help info flow smoothly among team members.
- Watch timelines and project milestones, escalate issues, and follow up on outstanding items to keep work progressing.
- Support client-facing interactions with professionalism while working closely with contractors and internal teams to resolve routine project needs.
Requirements
- Experience in project coordination, project support, construction administration, contract administration, or a related role.
- Able to handle multiple deadlines and maintain strong follow-through in a fast-moving project environment.
- Strong communication skills and the confidence to interact effectively with clients, contractors, and internal stakeholders.
- Strong organizational skills with experience maintaining project files, schedules, and documentation with accuracy.
- Familiarity with construction, utility, engineering, or infrastructure-related projects is preferred.
- Proficiency with Outlook and general administrative tools for calendar management, email correspondence, and document handling.
- A team-oriented approach with the ability to provide reliable support across several concurrent projects.
Qualifications
