About the role
Schnabel Engineering is seeking a Project Administrator to support our growing practice. This role is ideal for someone who enjoys contributing to a strong team culture and helping projects run efficiently. You will work closely with Project Managers to support projects throughout the full lifecycle, from setup to close-out.
Responsibilities
- Provide data entry and reporting services for project managers, including:
- Assist with contract administration and reporting duties
- Maintain and manage the work breakdown structure throughout the life of a project
- Collaborate with project managers to develop and maintain detailed project schedules
- Monitor project lifecycle by reviewing budgets, financial forecasts, and other business reports
- Track revenue and customer billing, coordinating between accounting and project staff to ensure accuracy
- Support project and finance teams in executing and tracking established project financial workflows, such as:
- Assist with contract review process
- Coordinate special invoicing requirements between client and accounting staff
- Review client and subcontractor invoices for accuracy and timeliness
- Handle client payment inquiries, collections, and resolutions as needed
- Create and review technical documents, including letters, meeting minutes, presentations, memoranda, and reports (editing, formatting, assembly, and delivery)
- Perform other ad hoc duties to support project execution
Requirements
- Associate or Bachelor’s degree
- 5+ years of contract/project administration, office management, or comparable experience
- Attention to detail and strong organizational skills
- Excellent written communication skills for preparing clear, concise, and professional correspondence
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat or Bluebeam Revu
- Strong work ethic, positive attitude, and ability to perform professionally in a team environment
- Ability to pass a background check (criminal history, motor vehicle record, and credit check)
- Ability to pass a pre-employment drug screening
Preferred Qualifications
- Experience with project management, construction management, or engineering/technical work
- Understanding of project workflow from initial setup to completion in a professional services environment
- Experience managing contracts
- Familiarity with Aconex, Microsoft SharePoint, and Microsoft Teams
- Knowledge of project invoices and billing

Pay
The compensation range for this position is $70,000 to $85,000, varying by geographic location and other factors.
