Project Administrator

About the role
The Project Administrator supports active projects by managing administrative processes that keep work organized, documented, and moving forward. This role partners closely with Project Managers, field teams, accounting, and internal departments to ensure project documentation, reporting, and internal coordination are handled accurately and on time. This is a project-focused administrative role, not a front-desk position. The ideal candidate is detail-oriented, organized, and comfortable supporting multiple projects simultaneously.
Responsibilities
- Support Project Managers with timesheet tracking and labor reporting
- Review and process expense documentation
- Maintain project files and documentation in internal systems
- Assist with submittals, closeout documents, and required project paperwork
- Coordinate internal approvals and routing of documents
- Track material transfers and maintain related records (including photos when required)
- Assemble project kits and ensure materials align with provided specifications
- Assist with maintaining accurate inventory records related to project materials
- Communicate with internal departments to ensure project information is current
- Provide general administrative support to project teams as needed
Requirements
- 2+ years of administrative experience, preferably in construction, engineering, or project-based environments
- Strong organizational and time-management skills
- Ability to manage multiple tasks across different projects
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Comfortable working with documentation, reports, and tracking systems
- Ability to exercise judgment, prioritize effectively, and work independently

Work Environment & Physical Demands
Physical requirements and work environment expectations vary by position.
