Project Administrator
Summary
The Project Assistant supports the operational, logistical, and technical needs of an environmental consulting team. This role provides essential coordination across office management, sample handling, fleet oversight, data review, and field support.
Key Responsibilities
- Field Support
- Be available for field work as needed, including sample pickup/delivery, basic sampling assistance, site visits, and equipment transport.
- Support field staff in assembling sampling kits, packing coolers, preparing chain-of-custody forms, and restocking equipment after events.
- Aid in field tasks (training provided), such as: water, soil, or sediment sample collection, equipment calibration, site documentation, photos, and notes, stormwater inspections, Phase I site visits.
- Office & Administrative Support
- Maintain inventory of office supplies, field equipment, and consumables used for sampling and environmental monitoring.
- Cooker shipping and receiving, including FedEx, courier services, and chain-of-custody sample deliveries to analytical laboratories.
- Prepare professional presentations (PowerPoint) to support internal meetings, project proposals, and client deliverables.
- Build and maintain Excel tracking tools, logs, charts, and summary sheets for project teams.
- Conduct data entry and basic data analysis to support environmental reports and regulatory submissions.
- Aid in reviewing draft reports for formatting, accuracy, and data consistency.
- Fleet & Equipment Management
- Oversee a fleet of approximately eight field trucks, including scheduling maintenance, repairs, inspections, and routine servicing.
- Track mileage, vehicle usage, safety checks, and maintenance records to ensure compliance with company and OSHA standards.
- Cooker with mechanics, vendors, and field crews regarding vehicle availability and performance.
- Aid in tracking, organizing, and maintaining field equipment such as pumps, coolers, meters, sampling kits, and PPE.
Preferred Qualifications
- Experience in environmental consulting, laboratory operations, or field sampling is preferred but not required.
- Proficiency in Microsoft Office (Excel: formulas/charts; PowerPoint: formatting and design).
- Strong organizational and multitasking skills.
- Familiarity with environmental field equipment (meters, pumps, coolers) is a plus.
- Strong communication skills and attention to detail in documentation and data handling.
- Valid driver’s license with a clean driving record.
Working Conditions
- Onsite role with a mix of office and fieldwork.
- Fieldwork may involve outdoor conditions, driving to project sites, moderate physical activity, and working with environmental samples.
- Must be comfortable managing office tasks during on-site days, including sample handling and shipping deadlines.
