Job Type Full-time Description Position Title: Program Support Assistant Reports to: Operations Manager Location: Manhattan, KS Work Schedule: Full-Time, Monday - Friday, 8:00 am to 4:30 pm FLSA Status: Non-Exempt Position Summary: Aldevra is currently seeking a qualified Program Support Assistant to support the United States Department of Agriculture (USDA) in Manhattan, KS. We are looking for someone who brings a positive attitude, strong attention to detail, clear communication, and a willingness to jump in where needed. This position is contingent upon contract award. Duties And Responsibilities The essential functions include, but are not limited to the following: Answer phones and greet visitorsSchedule appointments and maintain calendarsSchedule and coordinate meetingsCollate and distribute mailPrepare memos, emails, invoices, reports and other correspondenceWrite and edit communications, from letters to reports and instructional documentsCreate and maintain filing systems, both electronic and physicalManage accounts and perform bookkeeping Supporting seamless coordination across unitsServe as the primary link between scientific personnel, management, and external partnersFacilitate communication, tracking workflow, and maintaining the documentation and structure required for federally funded scientific programs Collaborate with other administrators, support personnel, management and clients on a regular basis.Make independent decisions daily, addressing the best way to handle specific tasks.All other duties as assigned. Requirements Security Requirements: Must be able to obtain a PIV badge. This position requires passing an extensive background check. Mental And Physical Requirements This position is based in an office environment, primarily involving computer work, meetings, and collaboration with team members. Ability to sit for extended periods while performing computer-based administrative work, including frequent keyboarding, data entry, and use of standard office equipment.Ability to stand, walk, bend, reach, and occasionally lift or carry office materials, files, or supplies weighing up to approximately 10–20 pounds.Ability to learn and effectively use Microsoft Office 365 and other computer software, including bookkeeping, billing, and electronic filing systems.Ability to perform mathematical calculations related to bookkeeping, billing, invoices, and financial recordkeeping with accuracy.Frequent use of hands and fingers for typing, filing, and handling office equipment.Ability to multitask and switch between responsibilities with minimal disruption.Critical thinking and sound judgment to make independent decisions regarding daily administrative tasks. Qualifications High school diploma or GED required2 years of experience as an administrative assistant or in a support roleValid Real-ID state-issued driver's licenseAbility to maintain order helps ensure executives do not miss appointments or deadlines. Emails, letters, documents and social media posts reflect upon the employer, therefore, professional writing skills using proper spelling and grammar is essential.Effective time management, organizational skills, written and verbal communication skills, business management, attention to detail, and the ability to learn new computer programsProficiency with Microsoft Office 365 suite of software packagesSufficient aptitude in mathematics and general accounting, bookkeeping, and billing knowledge.
