About the Role

The Program Operations Associate will step into a highly collaborative, central operational role engineered to serve as the primary logistical engine for the global Program division. This position takes comprehensive ownership of the administrative infrastructure, project tracking mechanisms, and workflow coordination that bridge vital federal portfolios, including AmeriCorps grants and Department of Labor (DOL) contracts. By driving multi-departmental alignment, organizing high-impact institutional events, and optimizing shared internal tracking systems, the Associate ensures total compliance, cross-functional accountability, and seamless operational execution across the entire non-profit network.

Responsibilities

  • Deliver high-level administrative, analytical, and operational coordination across multiple key Program departments, including DOL Program Impact, AmeriCorps Compliance, and Global Network Engagement
  • Track programmatic deliverables, structural timelines, and contract milestones meticulously, establishing proactive accountability frameworks to ensure all deadlines are met
  • Coordinate cross-functional workflows, lead complex calendar schedules, and facilitate internal communication pipelines to guarantee absolute alignment across regional teams
  • Maintain and audit centralized institutional documentation, digital file structures, and shared tracking tools to support data-driven operations
  • Support the rigorous administrative execution of grant obligations, federal contract requirements, and emerging programmatic operational priorities
  • Act as a primary operational point of contact across program divisions to synthesize cross-team priorities, balance resources, and align concurrent timelines
  • Assist with the onboarding of incoming programmatic staff, drive internal knowledge transfers, and engineer cross-team process improvements
  • Streamline and automate recurring operational cadences, including team standups, progress reporting, and centralized program dashboards
  • Manage and maximize the utility of shared collaboration platforms, focusing on advanced utilization of the Microsoft 365 suite and internal data-tracking databases
  • Analyze existing workflows and operational documentation continuously to identify, recommend, and execute structural efficiency enhancements
  • Orchestrate full-cycle logistics for high-visibility in-person, hybrid, and virtual educational events, summits, and clinical training sessions
  • Direct vendor relations, coordinate event material distribution, manage intricate participant communications, and oversee day-of event execution
  • Construct comprehensive run-of-show materials, design structured presentations, and provide seamless technical and logistical backup during high-stakes meetings
  • Track attendee participation metrics, compile evaluation data, and execute thorough post-event follow-up cadences
  • Leverage cutting-edge AI productivity tools responsibly and innovatively in strict compliance with evolving organizational governance and data security policies
  • Ensure absolute accuracy, professional formatting, and strict confidentiality when processing or generating data utilizing artificial intelligence applications
  • Document and share successful AI-driven workflows and prompt frameworks to enhance operational capacity and technical literacy across the broader program team

Qualifications

  • A minimum of two (2) to three (3) or more years of progressive, professional experience in non-profit operations, program coordination, federal grant administration, or high-level executive support
  • Demonstrated success supporting multiple cross-functional teams or complex, concurrent projects within a fast-paced, mission-driven environment
  • Elite organizational and project management capabilities, characterized by a meticulous, near-flawless attention to operational detail
  • Prior hands-on experience planning, coordinating, or executing large-scale events, clinical trainings, conferences, or virtual webinars
  • High proficiency across the Microsoft 365 ecosystem (including advanced functions in Excel, SharePoint, Teams, and Planner) alongside modern project tracking software
  • Forward-thinking technical adaptability, featuring a strong willingness to learn, experiment with, and responsibly deploy emerging AI efficiency tools
  • Superior written, verbal, and interpersonal communication skills, showcasing an ability to articulate complex logistical details clearly

Pay and Compensation

Target baseline compensation framework: Formalized internal Grade 2 position alignment featuring a competitive base salary structured between $55,000 and $65,000 USD per annum. Final onboarding salary placement within this market-calibrated band is determined dynamically based upon a comprehensive evaluation of the finalist's specialized non-profit operations background, federal contract experience, and relevant technical skill sets.
