About the Role

The Program Manager is responsible for supporting the oversight, development, and implementation of quality improvement and patient safety initiatives for oncology and ambulatory imaging services. This includes policy and procedure development and compliance for related regulatory agencies such as Commission on Cancer (CoC), Foundation for the Accreditation of Cellular Therapy (FACT), National Accreditation Program for Breast Centers (NAPBC), and American College of Radiology (ACR). The role involves analyzing quality and performance improvement data, maintaining compliance with regulatory and accreditation agencies, and educating team members and physicians on regulatory requirements.

Responsibilities

• Plan, oversee, and evaluate regional institutional or statewide health education programs.
• Outreach to build the cancer service line and ambulatory imaging referrals base.
• Lead teams to develop programmatic growth utilizing strategic planning principles.
• Collaborate with administrators, managers, interdisciplinary teams, and physicians to identify and enhance strategic clinical issues using the Be Safe methodology for problem-solving.
• Support workgroups through planning, facilitation, task execution, and communication.
• Implement new protocols and procedures.
• Assist workgroups with content and research support to progress projects.
• Engage with workgroups to identify external project support as initiatives progress.
• Develop and review analytical work products for accuracy and completeness to frame analysis for leadership decision-making.
• Independently retrieve, interpret, and analyze data from various sources.
• Maintain survey readiness through clinical audits, mock surveys, and adherence to infection control practices.
• Coordinate interdisciplinary team rounds/meetings and participate as needed.
• Provide effective project consultation and facilitation to ensure projects meet goals and objectives.
• Prepare and share reports with leadership to review status, important issues, and barriers impacting project progress.
• Assist clinical and programmatic oncology leadership in identifying opportunities and developing action plans to improve patient care, treatment, and services.
• Support the activities of process improvement sub-committees.
• Ensure compliance with current legislative/regulatory requirements and serve as a liaison with related regulatory agencies.
• Provide educational support on oncology quality improvement, patient safety, accreditation standards, and other regulatory standards.
• Maintain knowledge of and expertise in regulatory policies and bylaws.
• Educate multidisciplinary team members on policies, protocols, and forms.
• Develop, revise, and maintain change control for all oncology regulatory forms, policies, protocols, and guidelines.
• Improve functionality of data and related databases.
• Develop action plans and coordinate improvement projects to support best practices, regulatory compliance, and strategic initiatives.
• Lead planning, implementation, and evaluation of regional oncology education programs across multiple clinical sites (Culpeper, Gainesville, Prince William, and Haymarket).
• Develop and manage comprehensive educational content aligned with institutional regulatory standards (CoC, NAPBC, FACT).
• Conduct needs assessments and tailor programming to support quality improvement and patient safety initiatives.
• Provide resources for oncology staff to promote readiness and quality of care.
• Collaborate with cross-functional teams to enhance patient safety and care delivery through education and awareness.
• Partner with the oncology leadership team, ambulatory imaging team, and UVA Health Marketing to develop and execute communication strategies for service line programs.
• Lead the creation and dissemination of promotional content to increase awareness of cancer center programs, including support groups, wellness webinars, navigation services, and survivorship care.
• Coordinate regular updates of marketing collateral such as brochures, flyers, digital displays, social media content, and email newsletters tailored to patients, caregivers, and providers.
• Develop and maintain a promotional calendar for events, program launches, and health observances (e.g., Breast Cancer Awareness Month).
• Track engagement metrics and assess outreach effectiveness to optimize messaging and reach.
• Design visually engaging materials using tools such as Canva, UVA Health brand site, or institutional templates.
• Develop branded content that aligns with institutional guidelines and resonates with diverse patient populations.
• Support video and photo shoots highlighting patient stories, provider spotlights, or new services.
• Assist in planning and promoting educational events and awareness campaigns.
• Develop internal toolkits or referral guides to increase clinical staff awareness of navigation and supportive care programs.

Qualifications

• Education: 4-year/Bachelor’s Degree. Master’s Degree preferred.
• Experience: Two years of project management, quality, or regulatory experience required; additional experience in these areas preferred. Experience or training in principles of quality improvement and regulatory compliance is also preferred.
• Strong analytical and critical thinking skills, with experience utilizing word processing, spreadsheets, and clinical systems/databases.

• On-call responsibilities as directed.
• Ability to travel between campus buildings, remote facilities, and out of town as needed.

Pay

The base compensation range for this role is $45.29 - $74.20 hourly. Individual compensation will be determined by the selected candidate's qualifications, previous work experience, and/or education. The pay range does not include any applicable incentive compensation programs such as shift differentials, clinical ladders, or other incentives that may be available for eligible positions.
