About the role

The Program Manager will provide administrative, reporting, tracking, and follow-up support to the DMHAS Footswitch primary support to the Acute Care Unit.

Responsibilities

  • Assist with monitoring required provider submissions across OTRS service lines operating statewide in all 21 counties.
  • Track and document reporting status for required submissions, including SRC, QCMR, USTF+, and other assigned reporting processes.
  • Follow up with contracted providers and programs regarding missing, late, incomplete, or inconsistent reports.
  • Maintain tracking logs, update spreadsheets, organize electronic files, and prepare routine status updates for review by OTRS and Acute Care leadership.
  • Aid in preparing routine correspondence, reminder notices, meeting materials, meeting notes, and internal summaries related to reporting compliance and provider follow-up.
  • Support the unit in identifying outstanding submissions, documenting outreach efforts, and ensuring required reports are received, organized, and available for program review.
  • Provide additional administrative support as needed, including scheduling assistance, document preparation, template updates, data entry, filing, and coordination with other OTRS units.

Requirements

  • Strong organizational, communication, and time-management skills.
  • Proficient with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Attention to detail is essential due to the position's involvement in reporting requirements involving multiple programs, counties, and service lines.
  • Ability to manage competing priorities, work independently, maintain confidentiality, and communicate effectively with State staff and contracted providers.

Qualifications

  • Prior administrative experience in a government, healthcare, behavioral health, social services, or contract-monitoring environment.
  • Experience with spreadsheets, reporting logs, provider communication, data tracking, document management, and meeting support.
  • Familiarity with behavioral health programs or State-funded provider reporting is helpful but not required.
