About the role
Own day-to-day coordination and administration for the North America Transformation PMO, ensuring teams remain organized, prepared, and focused on execution.
Responsibilities
- Schedule and coordinate governance meetings, workshops, leadership reviews, consultant sessions, and transformation events, including agendas, materials, notes, action items, and follow-up.
- Manage meeting logistics: conference rooms, Teams meetings, AV support, technology readiness, and onsite event coordination.
- Coordinate consultant, contractor, and visitor activities: schedules, badges, workspace planning, access requests, reception support, and onsite logistics.
- Maintain PMO controls and reporting: dashboards, RAID logs, milestone plans, action trackers, dependency logs, resource planning, and executive updates.
- Create and maintain PowerPoint presentations, Excel trackers, leadership materials, status reports, meeting summaries, and governance documentation.
- Partner with Transformation, Facilities, IT, Procurement, and Finance teams to support workshops, business readiness activities, catering, purchase orders, workspace planning, and program execution.
Requirements
- 3+ years of experience in program coordination, PMO administration, project support, executive support, business operations, or a related function.
- Experience coordinating complex meetings, workshops, executive calendars, consultants, vendors, and cross-functional teams in a corporate environment.
- Advanced Microsoft Excel skills: formulas, lookups, pivot tables, charts, reporting, dashboards, and data organization.
- Strong PowerPoint skills: create, update, format, and quality-check executive-ready presentations.
- Excellent written and verbal communication skills: professional email creation, meeting summaries, and leadership communications.
- Strong Microsoft 365 experience: Outlook, Teams, SharePoint, Word, calendar management, and hybrid meeting technology.
- Comfortable providing hands-on onsite support: visitor reception, room setup, catering coordination, workspace planning, purchase orders, and technology troubleshooting.
- Exceptional organizational skills, attention to detail, follow-through, and ability to manage multiple priorities while maintaining accuracy.
Nice to have
- Experience maintaining project dashboards, status reports, RAID logs, milestones, action trackers, dependencies, and governance materials.
- Experience supporting transformation, ERP, carve-out/disentanglement, supply chain, facilities, or business readiness programs.
