About the Role

The Program Coordinator for Chapel Music serves as a member of, and the primary administrative support for, the Duke Chapel Music program. Reporting to the Director of Chapel Music, the Program Coordinator assists the Director and the Chapel Music staff in planning, coordinating, and administering all activities of Duke Chapel Music. The Program Coordinator may also develop and advise on policy related to specified programs; and may exercise full supervision over regular Duke staff.

What You'll Do

  • 60% Program Coordination – Work with the Director to make and carry out operational and programmatic decisions that impact the successful achievement of program strategies and objectives; develop, coordinate and advise Chapel Music staff regarding program implementation.

  • Work with the Director to develop and implement procedures, processes, and systems to improve administrative systems and functions.

  • Oversee, evaluate, and train (as appropriate) work-study students, staff singers, contractors, and other part-time employees, ensuring that best-practice methods and procedures are employed.

  • Supervise logistical aspects of the annual concert series, including event set-up and tear-down; “front of house” management; coordination with associated Chapel units (Hospitality, Communications, etc.) and other Duke units (Box Office, Transportation & Parking, Duke Arts, etc.).

  • Manage calendar scheduling of Chapel Music events, including weekly choral rehearsals, concerts, dress rehearsals, and related events.

  • Communicate with artistic partners and contractors for Chapel Music events. Connect with external artistic organizations as appropriate to enhance cooperative efforts and develop future performances.

  • Congratulate with the Director and the Development team to maintain communications with donors to the Chapel Music program; participate in the planning and execution of donor-facing events.

  • Monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends, and recommend and implement modifications to improve program effectiveness.

Budget

  • Work with Director to prepare the annual Chapel Music budget.

  • Work with Director, and Finance and Development teams to prepare grant applications as appropriate.

  • Regularly monitor, verify, and reconcile expenditure of budgeted funds.

  • Develop new materials and resources to supplement, expand, or replace existing program components.

Other Duties

  • Perform other related duties incidental to the work described herein.

Essential Functions

  • Possess facility with software programs, including: Microsoft Office; Adobe Suite; data management, volunteer coordination, and music notation softwares.

  • Work a flexible schedule of hours that regularly includes nights and weekends.

  • Be able to navigate stairs without assistance.

  • Lift and carry up to 50 pounds.

  • Provide guidance and direction to subordinates, including setting standards and monitoring performance.

  • Evaluate program performance, summarize findings, communicate results, and form an action plan.

What You Bring

  • A Master's degree or equivalent combination of education and experience.

  • Five or more years in program administration or similar experience in academic, non-profit, or corporate settings to acquire skills necessary to plan, coordinate and implement a variety of program activities and events. Background knowledge in and experience with choral music and/or sacred music is strongly preferred or related experience.

  • Strong organizational, leadership, communication, and program management skills.

  • Proficiency with Microsoft Office and other administrative software systems.

Anticipated Pay Range

Duke University provides an annual base salary range for this position as USD $44,766.00 to USD $71,706.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
